We are seeking a highly organized and proactive Executive Administrative Assistant to support our SECURITY & LUXURY TRANSPORT SERVICES (event, residential, Executive Protection) office in North Miami. This role is essential in ensuring smooth operations within the office and will involve a variety of administrative tasks. The ideal candidate will possess strong communication skills (PROFESSIONAL FLUENCY IN ENGLISH IS A MUST, speaking Russian and/or Ukrainian is a PLUS, not mandatory) exceptional attention to detail, and the ability to manage multiple priorities effectively. PART-TIME (30-35 hours/week) with likely potential to become full-time. Starting pay is $20-22.00/hr. DEPENDING on level of relevant experience in the job field.
Duties
- Provide comprehensive administrative support to manager, including invoice creation (3-5x per week), bill creation (maybe 6-10x per week), scheduling meetings/conversations, preparing pamphlets/Powerpoints/Documents/business cards (CANVA, ADOBE is big plus), managing calendar, and coordinating security schedules, emailing.
- Handle clerical tasks such as filing, data entry, and maintaining office supplies.
- Handle light bookkeeping work with outsourced ACCOUNTANT.
- Serve as a personal assistant when required, handling confidential information with discretion.
- Utilize DocuSign, Zoho books and/or Quickbooks, ADP, GoogleDrive Suite, Quickbooks, for document management.
- Provide excellent customer service by addressing inquiries and resolving issues promptly.
- Maintain organized records (e.g. Security Officer files and Transportation Vehicles in fleet) and files to ensure easy access to information when needed.
Experience
- Proven experience as an administrative assistant or in a similar role is preferred.
- Important: Knowledge of Bookkeeping (Invoices/Bills), Payroll (Entering/Editing hours of few employees) and Graphic Design (for Resumes, Pamphlets, Light PowerPoint decks, Flyers)
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with office equipment.
- Excellent phone etiquette with strong verbal communication skills.
- Background in customer service or clerical work is beneficial for this position.
