Local Twin Cities candidates preferred. This is a remote position with in-office meetings once a month.
Summary:
The Human Resources Coordinator provides support to both Human Resources and Medical Services, helping drive organization goals and physician-focused initiatives. This role is responsible for assisting with key human resources functions and radiologist hiring efforts, including recruitment coordination, onboarding, record management, training, compliance, and general HR administrative tasks. The HR Coordinator plays a vital role in ensuring a seamless experience for physicians and team members by facilitating efficient processes and maintaining accurate documentation.
This position requires strong organizational skills, attention to detail, and the ability to work collaboratively with other departments.
Essential Duties and Responsibilities:
HR Operations Support
- Provide administrative support to the HR and Medical Services Departments
- Maintain and update team member records in HRIS
- Assist with reporting and maintaining HR related documentation
- Coordinate and assist HR projects, initiatives, and process improvements, such as performance management and benefits administration
Talent Acquisition
- Coordinate recruitment activities, including posting job openings, conducting phone screenings, and scheduling interviews
Team Member Onboarding & Offboarding
- Facilitate the onboarding process for new team members, including paperwork, background checks, and compliance requirements
- Manage the electronic personnel file system
- Oversee the I9 verification and re-certification process
- Support offboarding activities, ensuring proper documentation and exit procedures are followed.
HR Compliance
- Assist with leave administration, including FMLA, short-term disability, and unpaid leave
- Ensure HR files and documents are maintained in accordance with practice policies and legal requirements
- Assist with audits and compliance-related documentation
- Support compliance related training activities, including assigning training and providing timely communication
Team Member Engagement
- Coordinate and schedule training sessions, and performance discussions. Assist in the performance management process with other HR staff including monitoring completion of assigned tasks
- Support HRBPs in the administration of the performance, merit, bonus, and team member benefit programs
- Assist the HRBP’s as the main contact for the HR email inbox, answering and/or directing messages to the appropriate HR team member as needed
- Assist in the practice recognition and retention initiatives
Medical Services Support
- Assist physician recruiters with onboarding paperwork and candidate radiologist screening
- Coordinate candidate radiologist interviews with medical leadership
- Initiate the onboarding process once a candidate radiologist joins the practice
- Coordinate documentation for radiologist payroll & compensation paperwork
- Send milestone communications to radiologists
Qualifications/Education:
- Bachelor’s degree in human resource management, business administration, or a related field.
- 2 years of administrative HR experience.
- Strong understanding of HR processes and procedures and ability to continually improve processes and procedures.
- Excellent communication and interpersonal skills.
- Proficiency in MS Office (Excel, Word, PowerPoint) and HRIS systems.
- Ability to prioritize multiple initiatives and projects.
- Ability to handle sensitive information with discretion and professionalism.
- Strong ability in delivering outstanding customer service and relationship building, problem-solving, and influence skills. Must have exceptional written and verbal communication.
- Ability to maintain confidentiality under difficult circumstances and ability to handle situations that may be highly sensitive.
- Ability to work on a team of peers to collaboratively solve problems and carry out team initiative.
- Able to work in a fast-paced environment, strong work-ethic, and a reputation for the highest degree of integrity and mature business judgment.
