Overview: Work closely with applicants, new hires, current and past employees, and business partners to administer a variety of HR duties including onboarding, creation of policies and procedures, data entry, employee engagement, all while maintaining the standards and culture of the organization.
Essential Duties and Responsibilities:
· Share responsibility of the below listed tasks if those tasks are currently being handled by another team member, other than the HR Manager.
· Coordinate the employment process, to include scheduling pre-employment physicals, drug tests, hearing tests, background checks and review of motor vehicle records.
· Schedule and conduct new employee orientation and ensure the accurate and timely completion of all required paperwork.
· Schedule and conduct benefit meetings. Distribute and explain all insurance paperwork and forms. Process completed paperwork according to procedures.
· Manage Worker’s Compensation cases. File First Report of Injury. Follow up on all injuries with the employee and doctors. Organize and maintain all injury files accurately. Assist the insurance adjustor as needed.
· Maintain the OSHA records as required. Distribute required OSHA forms, reports and information to the appropriate persons. Submit annual OSHA 300A online.
· Update and maintain legal postings in all facilities.
· Write, maintain, and update forms, policies, procedures and the company guidebook. Notify staff of updates and changes.
· Maintain employee balances of clothing and gear allowance.
· Submit clothing for proper brand ID (WTS logo). Inspect clothing to verify it follows the company clothing policy. Work with vendors to provide uniforms and other gear.
· Data entry and information maintenance in the HRIS program (BambooHR).
· Coordinate required training (and re-training) for all staff. Examples include CPR, Preventing Sexual Harassment, and Reasonable Suspicion Training.
· Train staff on policies, procedures and internal topics that do not require a Subject Matter Expert (SME). Prepare training presentations utilizing PowerPoint or other software.
· Prepare job postings, letters, memos, correspondence, charts, graphs, etc., as needed. Schedule meetings, notify attendees, and coordinate locations, etc.
· Work with business partners, as needed. Examples include health insurance, business insurance, employment lawyers, 401(k) brokers and administrators.
· Prepare employee separation notices and related documentation. Conduct exit interviews to determine reasons behind voluntary separations.
· Coordinate and schedule company social events. Create and lead a committee of volunteers.
· Monitor expiration dates of documents and certifications. Ensure steps are taken to keep dates current.
· Assist in registering staff members for conferences, seminars, etc. Make travel arrangements, if needed. Ensure travel policies are created, signed and adhered to.
· Review invoices. Approve and submit for payment or research discrepancies.
· Coordinate wellness events and education.
· Distribute and analyze company surveys (internal and external).
· Perform reviews and audits of employee files and I-9s.
· Follow and comply with all safety and work rules and regulations.
· Assist office staff as needed, including answering phones, assisting other staff members, and backing up other staff during absences or vacations.
· Other projects and tasks as needed or as they arise.

· Must have high level of discretion and ability to handle sensitive and confidential information appropriately. Protect the company and the employees.
· Regularly attend in-person and virtual HR training opportunities to continue learning HR policies, procedures, laws and regulations.
· Work independently on projects and ensure deadlines are met.
Qualifications / Skills:
· Requires four years of high school and one to three years of related experience; or a combination of education and experience
· Excellent communication and interpersonal skills to interact with clients, employees, vendors, and business partners effectively.
· Exceptional organizational and time-management abilities to handle multiple projects simultaneously.
· Attention to detail. Meet deadlines of time-sensitive duties.
· Ability to work independently, multi-task and prioritize responsibilities.
· Proficiency with Microsoft Office Suite. Ability to learn and use required software, including Human Resource Information System and Client Relationship Management software.
