Position Description:
We are looking for a Director of Administration to join our team. The candidate must have at least ten years of experience in operations, maintenance of multiple office locations, and office move management. The candidate must also have a comprehensive understanding of all aspects of Project Management. This candidate should have strong relational and team building skills in order to effectively communicate and network with employees and vendors. This candidate should also be highly motivated, organized, financially resourceful, and possess strategic thinking and leadership skills.
Typical responsibilities include:
- Plan and lead administrative projects and strategic initiatives supporting company goals
- Oversee standardization of company correspondence
- Oversee all corporate building-related systems, functions, and purchases for multiple offices
- Work closely with CFO and Controller to create and maintain annual corporate operating budgets for Market Segments and offices
- Closely monitor operating budgets for office facilities, fleet and Administrative team
- Work with vendors and internal groups to secure copy machines, plotters, printers, and other equipment throughout all corporate offices while maintaining consistency throughout the corporation
- Coordinate with the Brand and Safety Managers to ensure all offices maintain safety, functionality, and image standards
- Calculate, analyze, and report office financial data and metrics
- Act as custodian for company fixed asset management, providing data needed for insurance, property tax reporting, corporate tax, etc.
- Review office lease information on existing and new locations for corporate compliance
- Work with Wade Trim staff, architects, furniture vendors, and movers to manage office moves and buildouts
- Work directly with Corporate Real Estate to secure office or apartment space for employees
- Oversee the company fleet by analyzing fleet cost efficiencies, ensuring legal and safety compliance, and developing and maintaining a fleet turnover strategy
- Manage fleet risk, handle accident events, manage claims,
- Manage Office Administrators in other locations and set direction for their local involvement in administrative projects and strategic initiatives
- Supervise building trades technicians, maintenance staff, and contractors
- Manage the distribution and, working with I.T., the maintenance of electronic devices (cellular phones, iPad’s, jet packs, etc.).
- Improve and maintain company purchase order system as it relates to company assets.
- Working with operations and Finance, develop and oversee project file maintenance, storage, and destruction protocol
- Maintain a safe work environment
Education:
- High school diploma required
Skills/Experience:
- Comprehensive understanding of all aspects of Project Management
- 10 years of experience in operations and maintenance of multiple locations and office move management
- Strong experience in vehicle and equipment leasing.
- Familiarity with architectural drawings and office furniture and space planning concepts.
- Familiarity with electronic devices and technology.
- Experience in building management systems including HVAC and security systems
- Possess or have the ability to develop a working knowledge of scheduling software (Primavera, Microsoft Project, SAP or other) and project accounting software (BST)
