Position Summary:
The Human Resource Administrative Assistant handles the daily administrative tasks and is responsible for performing HR-related duties. This position carries out responsibilities in the following functional areas: recruitment, onboarding, policy implementation, benefits administration, and HRIS. The HR Assistant supports internal and external customers as necessary. All duties are performed with a strong customer service focus.
DUTIES/RESPONSIBILITIES:
Essential Functions
- Provide administrative support to the Human Resources department including front desk activities, such as answering the phone and serving visitors by greeting, welcoming, directing, and announcing them appropriately.
- Assist in ensuring that the department’s day-to-day operations are running smoothly.
- Support the HR Director in scheduling meetings, interviews, and maintaining filing systems to managing the HR database.
- Conduct all administrative functions in the HR department to include, but not limited to formatting reports, copying, scanning, filing, mailings and faxing.
- Maintain confidentiality in all aspects of the HR department, this includes employee information, confidential invoices or other sensitive department and organization information.
- Provide operational support on issues such as performance management and assist with the recruiting and onboarding process ensuring compliance with employment and labor laws
- Coordinate orientation and training sessions for new employees
- Enter and update employee information in Oracle as directed.
- Serve as a point of contact, providing smooth communication with faculty, staff, students, and new hires and timely resolution to their queries
- Provide customer service to employees by answering questions regarding policies and procedures.
- Assist in planning and organizing events.
- Responsible for office duties such as sorting mail, and ordering supplies as needed.

Qualifications:
- High school graduate or GED equivalent, associate’s degree preferred.
- Two years administrative support experience required
- Two years Human Resources preferred.
- Experience with Oracle, highly desired.
- Ability to maintain a high level of confidentiality and accuracy of electronic and paper files.
- Excellent attendance and punctuality required for front desk duties.

In compliance with NYC’s Pay Transparency Act, the annual base salary range for this position is $45,000 - $50,000.
