Job Title: Accounts Payable/Billing Clerk
Job Description:
We are currently seeking an accounts payable/billing clerk responsible for managing the firm’s billing processes and handling all aspects of accounts payable. This role ensures that client invoices are generated accurately and on time, and that vendor invoices and other expenses are processed and paid in a timely manner.
Responsibilities:
· Prepare and issue client invoices, ensuring accurate and complete billing of attorney time and expenses.
· Work with attorneys and staff to ensure time entries, billing narratives, and costs comply with client and matter guidelines.
· Submit invoices through electronic billing systems and resolve any billing rejections or discrepancies.
· Assist in generating pre-bills, making edits, and preparing final invoices for client distribution.
· Review, verify, and enter vendor invoices into the accounting system.
· Ensure proper coding of invoices and obtain necessary approvals for payment processing.
· Process attorney and staff expense reports and reconciling firm credit card statements.
· Scanning of all documentation invoices and credit card receipts. Ensure that expenses related to client matters, such as court fees and expert witness payments, are allocated correctly and reimbursed appropriately.
· Maintain accurate and organized records of all accounts payable and billing transactions.
· Ensure compliance with legal and firm policies, including handling 1099 forms filings.
Qualifications:
- High school diploma or equivalent; 2-5 years’ experience preferred.
· Prior experience in billing and/or accounts payable, ideally within a law firm or professional services environment preferred.
· Strong attention to detail and organizational skills.
· Proficiency in Microsoft Office, Excel, and ability to learn new accounting systems.
· Good communication and interpersonal skills to interact with attorneys, staff, clients, and vendors.
- Experience with electronic billing systems and legal billing practices.
- Basic understanding of accounting principles and compliance regulations.
