Wake Radiology is seeking a Senior Administrative Assistant to join our administration team. This role will entail providing high-level support to the Chief Operating Officer and our team of Radiologists who serve on the Executive Leadership Committee (EC). Apart from closely collaborating with the COO and the EC, the Senior Administrative Assistant will also work alongside other senior management to ensure the successful completion of tasks, demonstrating considerable judgment and discretion while managing tight deadlines.
What You'll Be Doing
Screen and prioritize calls for the COO.
Manage and maintain the calendar.
Coordinate meetings, confirming availability, booking rooms, setting up teleconference or video conference capability, ordering food.
Draft communications on behalf of the COO.
Prepare agendas and materials for leadership and EC meetings.
Monitor financial, budgetary, and personnel processes, including timely reconciliation of the COO's business credit card expenditures.
Provide presentation support, such as develop and edit presentations. Must be proficient using Microsoft Office.
Make travel plans and reservations as needed.
Coordinate and manage all aspects of events for the EC.
What We Are Looking For
2-5 years of professional experience providing high-level support to a senior executive in a fast-paced organization is required.
Bachelor's Degree Or Radiology Or Healthcare Experience Strongly Preferred.
Expert in Microsoft Office Suite skills, including Excel, Word, PowerPoint, Outlook, and OneNote.
An extremely personable, professional, polished, multi-tasker.
Interpersonal skills necessary to handle sensitive and confidential situations with poise, tact, and diplomacy.
Ability to work in a fast-paced, collaborative environment while staying flexible to changing priorities.
Responds to requests and urgent matters quickly and creatively with excellent follow-through.
