This position is based out of the San Francisco office and open to a hybrid schedule once onboarding and orientation is complete.

Role Overview

The Architectural Operations Administrator will provide key administrative support to the Architectural Operations and Oversight Teams. This position will play a key role in helping bring the vision of the firm to life by ensuring key initiatives are well supported. Partnering closely with Architectural Operations leaders, the Architectural Operations Administrator will be involved in multiple firm wide projects and programs that have a direct impact on the work of the firm. With unlimited room for growth and direct access to firm-wide leaders, this is an exciting role that will help the firm evolve into its next chapter.

Primary Responsibilities

  • Provide administrative support for the Architectural Operations Team
    • General scheduling requests for Arch Ops meeting needs
    • Coordination of weekly, biweekly and monthly recurring meetings including scheduling, material preparation, meeting notes, follow up items, etc. (i.e. Focus Meetings, etc.)
    • Maintain Monthly Project Trackers
    • Coordinates all project presentations
    • Coordinate the New Project Setup process
    • Design Leadership support
    • Compose and edit general correspondence, memos, and other documents
  • Provide administrative support for the Oversight Team
    • General scheduling requests and coordination
    • Other needs as identified
  • Assist in administrative responsibilities related to system implementation(s)
    • VantagePoint Project/Resource Implementation
    • Assist with weekly staffing assignments in Vantagepoint (once system is implemented)
    • Others as identified
  • Provide administrative support for the Resources Team
    • General scheduling requests of the Resource Team
    • Coordination of weekly meetings including meeting notes, follow up items, etc.
    • Misc ad. hoc. tasks and projects as it relates to the initiatives of these teams
  • Assist in the continued development and maintenance of internal Arch Ops and Project related resources
    • DubHub (intranet)
    • Asana Project Checklists
    • Others as identified/created
  • Assist in tracking AXP candidates and required hours
  • Act as a champion for office standards with regular participation in the Architectural Operations department
  • Willingness to engage in meaningful work that helps the firm achieve its Vision and Strategic plan
  • Share experiences (lessons learned) and unique insight as applicable to increase the Firm’s common knowledge
  • Other duties as assigned and required of the project and or firm

Qualifications

  • 3 or more years of related professional experience in an office environment working with and as part of a team, preferably in a professional services organization
  • Associates or Bachelor's degree in Architecture, Design or similar field preferred or equivalent working experience
  • Prior experience working with an architecture, engineering or construction firm strongly preferred
  • Advanced proficiency with technology (i.e. Microsoft Office, Google Workspace, Asana, DelTek, Miro, etc.), with the ability to learn new systems quickly
  • Extremely detail-oriented with the ability to produce accurate, succinct and complete work on time
  • Proactive and able to work independently with good judgment and minimal direction
  • Adaptable and resourceful in handling shifting priorities and tight deadlines while maintaining a friendly, positive and helpful attitude
  • Excellent verbal, written and graphic communication skills
  • Ability to maintain strict confidence and discretion of sensitive information

Compensation And Benefits

Walker Warner Architects offers a competitive compensation package including fully paid health benefits for employees, profit sharing, employer 401(k) contribution, generous paid time-off and flexible spending accounts, plus so much more.

The hiring hourly range for this position is $40 - $45 per hour. Any offer of compensation will be determined by a candidate’s education, skills, and experience as assessed during the interview process
