Job Summary
We are seeking a highly organized and proactive Executive & Personal Assistant to support a busy executive in the construction industry. This role requires an individual who can manage scheduling, communication, and administrative tasks while also handling personal errands and day-to-day needs. The ideal candidate is highly organized, adaptable, and able to anticipate needs in a fast-paced work environment.
Key Responsibilities
Executive Support:
- Manage emails, calendars, and scheduling for the executive.
- Coordinate meetings, travel arrangements, and appointments.
- Prepare reports, presentations, and correspondence.
- Handle confidential documents and maintain accurate records.
- Assist with task prioritization, follow-ups, and reminders.
- Act as a liaison between the executive, employees, and external contacts.
Industry-Specific Support:
- Assist with organizing construction-related documents, invoices, and contracts.
- Track project timelines, schedules, and important deadlines.
- Coordinate communication between office and job sites as needed.
- Assist with vendor and client follow-ups to keep projects on track.
- Handle expense tracking, invoicing, and basic bookkeeping support.
- Help collect and organize data and information for decision making.
Personal Assistant Duties:
- Run personal errands such as picking up/dropping off dry cleaning, managing household needs, and coordinating personal appointments.
- Assist with travel planning, reservations, and itinerary management.
- Handle personal shopping, gifts, and other time-sensitive tasks.
- Help manage household maintenance schedules, service appointments, and deliveries.
- Coordinate with family members or personal contacts as needed.
General Office & Administrative Tasks:
- Maintain organized files, records, and documentation.
- Assist with expense reports and office supply management.
- Handle incoming calls and messages, ensuring prompt responses.
- Provide general administrative support to ensure smooth daily operations.
Qualifications & Skills:
- Strong organizational and multitasking skills.
- Proficiency in Microsoft Office (Excel, Word, Outlook) and project management tools.
- Excellent written and verbal communication skills.
- Ability to work independently, problem-solve, and manage multiple tasks efficiently.
- Understanding of construction or contracting industries is a plus but not required.
- Must have a valid driver’s license and be comfortable running errands.
