Preschool Programs Enrollment Coordinator

PURPOSE STATEMENT

This position assumes overall responsibility for the enrollment, recruitment, selection, eligibility, and attendance for the preschool programs located at the Walla Walla Center for Children & Families. The Enrollment Coordinator corresponds with multiple programs and agencies to ensure full enrollment is maintained at all times.

ESSENTIAL FUNCTIONS

  • Responsible to develop, maintain, and manage a system to track eligibility, recruitment, selection, enrollment, and attendance of children to comply with federal and state regulations.
  • Maintain, track, and monitor enrollment process from initial Interest Form to program registration.
  • Conduct eligibility interviews with applicants to ensure complete and correct information on the Early Learning Interest Form.
  • Provide frequent in person, phone and written contact with staff and families, often involving sensitive and or confidential information.
  • Serve as Homeless and Foster care liaison for our Transition to Kindergarten program.
  • Coordinate and Facilitate the building annual recruitment meeting.
  • Submit monthlyHead Start enrollment report to the Office of Head Start (HSES).
  • Collaborate with College place and Walla Walla Child care Community providers.
  • Make eligibility decisions that meet requirements of Head Start and ECEAP Performance Standards, and any local, state and / or district policies.
  • Ensure tracking, follow-up, and analysis of enrollment data and produce regular reports for management meetings.
  • Provide leadership in the development of agency wide recruitment planning.
  • Form and maintain working relationships with outside agencies to facilitate both recruitment and services to enrolled and wait listed families.
  • Organize outreach and recruitment activities to provide information and enrollment opportunities to children and families throughout the year.
  • Maintain filing systems and eligibility files for all enrolled, previously enrolled, and wait listed applicants. Ensure files are accurate and accessible for both processing and annual audits.
  • Provide pertinent enrollment, recruitment, selection, eligibility, and attendance information for program and agency grants, community assessments, staff and parents.
  • Provide information, referral, and coordinating efforts to link staff and families with appropriate childcare resources.
  • Serve as a liaison to the local early learning community as a participant in community early learning events.

OTHER FUNCTIONS

  • Maintain a thorough knowledge and understanding of all aspects of OSPI, Head Start, and ECEAP Performance Standards and related regulations for ERSEA; including monitoring and implementation.
  • Provide leadership in the annual review and revision of selection criteria based on the identified needs of the program and community to secure approval of the ERSEA Policy from program staff, Policy Council, and WWPS Board of Directors.
  • Work as a member of the Head Start coordinator team and building leadership team.
  • Attend meetings, staffing, training and professional development activities as directed.
  • Perform related duties consistent with the scope and intent of the position; office reception duties as needed.
  • REPORTING RELATIONSHIPS

    Reports to the building administrator.

    MENTAL DEMANDS

    Required to handle a wide range of student, staff and public needs in a positive and service oriented manner. May occasionally deal with distraught or difficult students or parents.

    PHYSICAL DEMANDS

    May be required to physically transfer students.

    MINIMUM QUALIFICATIONS

    Education and Experience

  • Associates Degree in Business Administration, Accounting or Finance, Early Childhood Education, or Social Services.
  • Experience working in Head Start or ECEAP program preferred; knowledge of Head Start and ECEAP Performance Standards, philosophy, and mission desirable.
  • Knowledge, Skills, and Abilities

  • Ability to communicate effectively using both English and Spanish required.
  • Knowledge / awareness of own cultural identity and how this influences behavior, and desire to learn about the cultural identity of others.
  • Excellent human relations, communication, and organizational skills; ability to communicate effectively with students, staff, and parents.
  • Ability to work with minimal supervision and effectively manage workflow.
  • Possess an understanding of early childhood development.
  • Knowledge of ChildPlus or ELMS data systems.
  • Ability to understand and follow verbal and written instructions.
  • Ability to prioritize, organize, problem solve, and effectively handle multiple tasks.
  • Knowledge of community resources and family service agencies.
  • Required to maintain confidentiality.
  • Licenses / Special Requirements

  • Requires fingerprinting and background check.
  • Must complete Walla Walla Public Schools Risk Management and Bloodborne Pathogens Training upon hire.
  • Current CPR / First Aid and AED certification.
  • Must be willing to acquire a health examination that includes screening for tuberculosis prior to hire.
  • Current driver's license.
  • TERMS OF EMPLOYMENT

  • Preschool Coordinator position is classified on the PSE Classified Salary Schedule A
  • Eight (8) hours per day, five (5) days per week, 205 days per school year;PSE Salary Schedule, Retirement, SEBB Benefits, 9 Holidays, Paid Sick Leave
