What are the responsibilities and job description for the Preschool Programs Enrollment Coordinator position at Walla Walla County Fire District #4?
PURPOSE STATEMENT
This position assumes overall responsibility for the enrollment, recruitment, selection, eligibility, and attendance for the preschool programs located at the Walla Walla Center for Children & Families. The Enrollment Coordinator corresponds with multiple programs and agencies to ensure full enrollment is maintained at all times.
ESSENTIAL FUNCTIONS
- Responsible to develop, maintain, and manage a system to track eligibility, recruitment, selection, enrollment, and attendance of children to comply with federal and state regulations.
- Maintain, track, and monitor enrollment process from initial Interest Form to program registration.
- Conduct eligibility interviews with applicants to ensure complete and correct information on the Early Learning Interest Form.
- Provide frequent in person, phone and written contact with staff and families, often involving sensitive and or confidential information.
- Serve as Homeless and Foster care liaison for our Transition to Kindergarten program.
- Coordinate and Facilitate the building annual recruitment meeting.
- Submit monthlyHead Start enrollment report to the Office of Head Start (HSES).
- Collaborate with College place and Walla Walla Child care Community providers.
- Make eligibility decisions that meet requirements of Head Start and ECEAP Performance Standards, and any local, state and / or district policies.
- Ensure tracking, follow-up, and analysis of enrollment data and produce regular reports for management meetings.
- Provide leadership in the development of agency wide recruitment planning.
- Form and maintain working relationships with outside agencies to facilitate both recruitment and services to enrolled and wait listed families.
- Organize outreach and recruitment activities to provide information and enrollment opportunities to children and families throughout the year.
- Maintain filing systems and eligibility files for all enrolled, previously enrolled, and wait listed applicants. Ensure files are accurate and accessible for both processing and annual audits.
- Provide pertinent enrollment, recruitment, selection, eligibility, and attendance information for program and agency grants, community assessments, staff and parents.
- Provide information, referral, and coordinating efforts to link staff and families with appropriate childcare resources.
- Serve as a liaison to the local early learning community as a participant in community early learning events.

Required to handle a wide range of student, staff and public needs in a positive and service oriented manner. May occasionally deal with distraught or difficult students or parents.
