Job Overview
We are seeking a friendly and organized Front Desk Receptionist to be the first point of contact for our clients and visitors. This role is essential in creating a welcoming environment while efficiently managing administrative tasks. The ideal candidate will be highly reliable, possess excellent communication skills, be detail-oriented, and have a strong ability to multitask.
Responsibilities
- Greet and assist clients and visitors in a professional and courteous manner.
- Manage incoming calls using phone system, directing them to the appropriate personnel (8-line phone system).
- Maintain an organized front desk area, ensuring it is tidy and presentable at all times.
- Perform data entry tasks accurately and efficiently using Microsoft Word, Excel, Outlook, and Adobe.
- Manage calendars for staff members as needed.
- Handle incoming and outgoing mail and packages (Fed Ex, UPS, USPS).
- Assist with collection and confirmation of Certified Payroll reports.
- Provide support for various administrative tasks as assigned, including filing, making binders, labels, and document management.
- Place office supply orders and stock paper and toner in office copiers and plotters.
- Light daily cleaning in kitchen and conference rooms.
- Assist with preparation for conference room meetings (coffee, ordering catered lunches, etc.).
- Assist Contract Administrator with collection and organization of documents.
Requirements
- Highly reliable and on time.
- Proven experience as a Front Desk Receptionist or similar role is required.
- Proficiency in using phone systems and office equipment.
- Strong time management skills with the ability to prioritize tasks effectively.
- Familiarity with Microsoft Office Suite applications is essential.
- Excellent verbal and written communication skills.
- Knowledge of data entry processes with attention to detail.
- Ability to type quickly and accurately while managing multiple tasks simultaneously.
