This Company is an Oak Ridge, NC based family-owned high-end multi-faceted Construction Company who is looking for an experienced, energetic, hardworking Office Assistant to join our rapidly growing Company. This qualified individual must be a team player with excellent communication skills who is proactive, highly motivated, detailed oriented and who is a self-starter with a roll-up-the-sleeves work ethic. This position entails maintaining support and a positive relationship with our customers, management team, accounting department, and field operations team. Our Company requires this individual to have industry knowledge, be caring, responsive and adhering to deadlines so that we can provide the best possible service to our customers.
Duties:
- Provide administrative support to all on the management and operations teams
- Apply for building and utility permits and assist with project coordination
- File, copy, scan and maintain organized records and documents
- Type memos and compile various excel spreadsheets
- Assist with organizing and coordinating meetings and events
- Handle incoming and outgoing mail and packages
- Track and provide COI and W-9s
- Answer main office phone / emails and coordinate related inquiries / responses
- Accurately transcribe meeting notes, customer selections and other related information
- Polite and professional communication via phone, e-mail, mail and/or in-person
- Provide accurate information by answering questions and requests appropriately
- Place customer and office orders along with tracking returns
- Communication and follow-up with customers and various vendors
- Track employees time off and work locations
- Data entry using QuickBooks Desktop for Cash, A/P, A/R and other areas, as needed
- Perform data entry, filing, and document management tasks
- Track and file invoices and printing of house plans, engineering reports and surveys
- Strong organization skills, ability to switch focus and complete tasks timely
- Assist with customer requests and changes / change orders
- Excellent interpersonal, oral, and written communication skills
- Proficient with Microsoft Office products (especially Excel and Word)
- Demonstrates accuracy and attention to detail
- Other administrative tasks for special projects, as requested/required
Requirements:
- 3 years of previous experience in an administrative assistant role
- High School diploma or equivalent education
- Additional education such as an associate’s degree or bachelor’s degree is very desirable
- Proficient in using Microsoft Office Suite (Word, Excel, Outlook)
- Knowledge of QuickBooks Desktop
- Familiarity of the construction industry
- Strong organizational skills with the ability to multitask and prioritize tasks effectively
- Excellent verbal and written communication skills
- Customer service-oriented with a professional demeanor
- Valid Driver’s License and current automobile with insurance
- Ability to maintain confidentiality of sensitive information

Pay: $15.00 - $17.00 per hour
Expected hours: 32 – 40 per week
