Overview of Role
The Gift Processing and Development Coordinator supports the Development Department of the Walters Art Museum by overseeing and coordinating gift/grant processing and constituent data. Reporting to the Development Database Manager, this position will oversee the collection and processing of all gifts to the museum, and maintain constituent data in support of the strategic initiatives of the department.
PRIMARY RESPONSIBILITIES
Provide oversight and coordination of gift processing, and ensure accuracy of donor data.
- Process contributions: from individuals, grants, foundations, corporations, bequests, and others.
- Manage credit card gift processing and handle onsite check deposits.
- Monitor database for incomplete transactions.
- Develop, run, and review timely audits to ensure accurate gift entry, donor/constituent information, and acknowledgement.
- Manage and update standard operating procedures related to gift processing.
- Coordinate with members of the Development team to ensure proper recognition of gifts and pledges are generated.
- Manage the collection of museum contribution box donations with the Finance Department.
- All other duties as assigned.
Work with Finance to reconcile gift information.
- Review and complete all gift adjustments.
- Process contributions made through stock, ACH, and wire transfer donations.
- Provide additional information about gift designations, as needed.
- Provide check deposit reports.
- All other duties as assigned.
Coordinate with members of the Development team to ensure the proper recognition of gifts and pledges are generated. Support ongoing donor stewardship.
- Manage process for generating membership cards.
- Ensure constituent information is updated in a timely and accurate manner.
- Maintain inventory of department supplies.
- Provide general support for the department as needed.
Qualifications
Required Skills and Experience
- Minimum of two years fundraising database experience; Raiser's Edge / Altru experience strongly preferred.
- Demonstrated commitment to confidentiality regarding Walters’ processes and constituent information.
- Proficiency in Microsoft Office Suite, particularly Microsoft Excel, and Google Suite.
- Demonstrated organizational skills and ability to handle multiple tasks and priorities simultaneously without compromising productivity or attention to detail.
- Ability to work independently and as part of a team with demonstrated interpersonal skills.
- Demonstrated written and verbal communications skills.
Schedule: Regular work week is Monday to Friday, 9a.m. to 5p.m. Able to work evenings and weekends as needed, including the Walters annual gala and other Development events.
Hourly Rate: $22‐24/hour
Unit Position (This position is a part of union bargaining unit)
