JOB TITLE: Benefits & Wellness Specialist
REPORTS TO: Benefits & Wellness Administrator
OVERVIEW OF ROLE: Assists with the administration of all company benefits, retirement and wellness plans. Serves as internal contact for all active and terminated employees with regard to all plans. Partners with employees, vendors, and other departments to troubleshoot and resolve issues relating to all plans. Provides a positive internal customer service experience to all employees. Performs all administrative duties in compliance with all federal and state regulatory guidelines.
DUTIES AND RESPONSIBILITIES:
- Assist in the administration of all benefits, retirement and wellness plans through processing employee enrollments, changes and terminations and updating vendor membership systems to reflect individual employee benefit transactions through weekly interfaces and data entry.
- Setup individual employee benefit enrollments in the HR/Payroll system based upon benefit elections.
- Scheduling and management of all scheduled benefits calls for new hires and open enrollment.
- Assist employees and former employees with questions regarding benefit plans including but not limited to enrollment, eligibility, claims, opportunities at termination, etc.
- Partner with plan administrators/vendors to troubleshoot and resolve individual employee benefit plan issues as well as global group issues.
- Partner with HR/Payroll staff members to resolve employee benefit issues such as continuation of benefits, benefit plan deductions, HRIS system issues, etc.
- Provide notification to employees on leave regarding options for payment of benefit plan premiums while not actively at work.
- Provide support to employees with use of online benefit/wellness/retirement plan tools as well as HRIS employee self-service.
- Process monthly vendor bills for benefit and wellness programs.
- Prepare and provide various benefit related data reports to external benefit/wellness vendors.
- Present overview/explanation of benefits package at new employee orientation.
- Research and prepare own correspondence in answer to inquiries and/or problems relating to individual employee benefits.
- Coordinate necessary support to complete annual system wide onsite biometric screenings.
- Manage process for proactively notifying and reminding drivers with expiring DOT physicals of wellness resources available to assist them with preparation for physical as it relates to their overall health.
- Coordinate annual Ward Scholarship Contest and process periodic tuition payments to winners.
- Assist with the development, implementation and communication of health and wellness initiatives.
- Work closely with Marketing Dept. to develop communications for wellness activities and challenges, as well as employee recognition for program participation and health improvement.
- Organize, scan, and maintain employee benefit files in RVI system.
- Cross-train to ensure full backup of Benefits Specialist functions.
- Perform regular clerical functions as needed including word processing, spreadsheet processing, employee mailings, etc.
- Assist with special benefit projects and perform other duties and projects as assigned.
- Performs all administrative duties in compliance with all federal and state regulatory guidelines.
REQUIREMENTS:
- High school education with advanced education preferred.
- Minimum of 2-3 years experience in human resources or customer service.
- Knowledge of benefits/wellness/retirement plan administration and regulatory compliance preferred.
- Excellent communication and interpersonal skills and strong desire to help employees.
- Strong administrative and organizational skills along with ability to manage multiple tasks and work in a fast-paced environment.
- Proficient in use of word processing and spreadsheet programs and use of basic office equipment.
- Ability to maintain high degree of confidentiality.
- Ability to work hours as needed and at times, overtime beyond the normal work day.
- Some travel required.
