POSITION SUMMARY: The Paralegal Assistant is a highly important and visible role within the Firm. The Paralegal Assistant will provide administrative legal support to designated paralegal staff. The Paralegal Assistant is expected to interact with potential and current clients, as well as staff (at all levels). The Paralegal Assistant must be able to remain flexible, proactive, resourceful, and efficient while demonstrating a high level of professionalism.
MINIMUM EDUCATION & QUALIFICATIONS
- High school diploma and at least 2 years of administrative support experience.
- Law firm experience is preferred.
- Advancement from within the Firm with administrative experience will be considered.
- Excellent interpersonal and communication skills (oral and written), professional demeanor and ability interact effectively with all levels of personnel.
- Computer proficiency in Windows-based software and Microsoft Office Suite applications including Word, PowerPoint, Excel, and Outlook.
- Excellent customer service skills.
- Attention to detail, outstanding organizational skills, and the ability to manage time effectively.
- Ability to work in a collaborative and team-oriented environment.
- Bilingual (English and Spanish) is preferred for family-based paralegal assistant.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Assist paralegal staff with the preparation of client packages for filing and submittal to appropriate agencies.
- Scan and save mail for paralegals daily.
- Assist paralegals with scanning active file materials to convert to digital format.
- Assist paralegals in filing all mail and other documents in physical file upon request.
- Process receipts and approvals; scan and email to paralegal; update all relevant case information in case management software.
- Make copies/scans for legal staff as needed.
- Pull files for all appointments as needed.
- Contact clients and potential clients to schedule consults, duty calls, and PRE conferences based on team requirements.
- Maintain attorney calendar and set appointments per team requirements.
- Contact clients regarding expiration of benefits such as expiration of employment cards, expiration of status, eligibility to apply for AOS or Natz, etc., as delegated by Paralegals.
- Assist paralegals with opening and closing physical files, including scanning documents, updating information in INSZoom, and returning original documents to clients.
- Complete special projects as requested.
- Serve as back-up for other Paralegal Assistant(s) as needed.
- Serve as back-up to the Reception Administrative Team when needed.
- Embrace the use of Firm technology and serve as an example to all staff of consistent, proficient use of technology.

- All other duties/projects as assigned by supervisor(s) or management.
