Multi-Market Administrator I
Department: Large Group and Level Funded Employee Benefits
Job Summary: The Multi-Market Administrator is responsible for supporting the Large Group and Level Funded Employee Benefits department by creating and maintaining extensive spreadsheets that compile Rates and Benefits for multiple Medical and Ancillary insurance carriers. This role plays a critical part in ensuring accurate and professional rate and benefit illustrations that support the sale and renewal of insurance policies. The ideal candidate possesses advanced Excel skills, the ability to synthesize complex data from multiple sources into a consistent format, and strong communication skills for collaboration with internal analysts, sales consultants, and brokers. The ability to meet tight timeframes and deadlines is essential in this fast-paced environment.
Overview of Responsibilities:
- Develop, update, and maintain complex spreadsheets containing Rates and Benefits for multiple insurance carriers.
- Organize and standardize data from various sources to ensure consistency and accuracy.
- Create professional rate and benefit illustrations to support new and renewing insurance policies.
- Collaborate with internal multi-market analysts, sales consultants, and brokers to obtain, clarify, and verify necessary information.
- Ensure data integrity and accuracy by reviewing all compiled information before finalizing reports.
- Ensure proper tracking methods are being updated in real-time to provide metrics for reporting purposes.
- Assist in streamlining and improving processes related to rate and benefit data management.
- Maintain compliance with company policies and industry regulations related to insurance benefit documentation.
- Work efficiently under tight timeframes and deadlines to meet business needs.
Client Communications:
- Support brokers and sales consultants by providing accurate and timely rate and benefit illustrations.
- Respond to inquiries and requests for clarification on plan details and pricing information.
- Assist in preparing client-facing materials that clearly communicate insurance benefit options.
- Ensure professional and clear communication when addressing client needs and concerns.
Collaboration & Team Support:
- Work with the sales team, brokers, and account managers to provide support during the proposal process.
- Provide team support and desk coverage as needed to ensure smooth operations during absences or high-demand periods.
- Assist other departments as needed to support organizational goals.
- Overtime, as needed to support turnaround time goals and broker timelines.
- Work overtime as needed, particularly during peak periods, to meet turnaround time goals and support broker timelines.
Market & Product Knowledge:
- Stay updated on trends in employee benefits offerings, plan designs, and the competitive landscape to provide the best possible rate and benefits illustrations.
- Continuously monitor industry regulations (i.e., carrier 411) and compliance standards to maintain up-to-date knowledge of the employee benefits market.
Customer Service:
- Respond promptly to customer inquiries, within service level, delivering exceptional service throughout the quoting process.
- Promptly acknowledge urgent requests upon receipt to ensure timely response and action.
- Respond to client inquiries, concerns, or requests for adjustments related to their benefits packages, and work to resolve any issues promptly and effectively.

Qualifications & Skills:
- Advanced proficiency in Microsoft Excel, including functions, pivot tables, and data visualization tools.
- Strong analytical and problem-solving skills with attention to detail.
- Experience in compiling and presenting complex data in a professional and understandable format.
- Excellent communication skills, both written and verbal, with the ability to interact effectively with internal teams and brokers.
- Ability to manage multiple tasks, prioritize deadlines, and maintain accuracy in a fast-paced environment.
- Experience in employee benefits, health insurance, or a related field is preferred.
- Experience working with data analysis and presentation tools is highly desirable.
Education & Experience:
- High school diploma or equivalent required.
- 3 years of experience in a similar role, preferably within the insurance or benefits industry.
- Prior experience working with Large Group and Level Funded insurance products is a plus.
- Salesforce experience is a plus, along with experience using various quoting and benefit platforms.
- This role is essential in supporting the efficiency and effectiveness of the sales and renewal process within the Large Group and Level Funded Employee Benefits department. - Hourly Range: $18.50 - $24.66 per hour
