The job of a Secretary to Assistant Principal was established for the purpose/s of providing secretarial support to school-site administrators; conveying information regarding school functions and procedures; processing information in accordance with site's financial, legal and administrative requirements; and supporting the broad array of services provided to students, parents, instructional and support employees.

Qualifications
High School diploma or its equivalent. One (1) year clerical experience required. General knowledge of office procedures and equipment. Competency in PowerSchool or equivalent database preferred. If not previously provided, PowerSchool training will be provided. Must have basic skills assessment, pertinent to position qualifications, at 70% on file in the Human Resources Department. If testing is not on file, selected candidates will be contacted for testing.

Basic Responsibilities
- Attends professional meetings as assigned (e.g. staff, registration, etc.) for the purpose of remaining knowledgeable with current regulations and practices.
- Communicates to parents via phone calls and memos for the purpose of giving and/or obtaining information.
- Compiles data from a variety of sources (e.g. honor roll, attendance, reports, etc.) for the purpose of complying with financial, legal and/or administrative requirements.
- Composes documents (e.g. standardized correspondence, bulletins, etc.) for the purpose of documenting events, providing and/or requesting information.
- Evaluates situations (e.g. involving staff, students, parents, the public, etc.) for the purpose of taking appropriate action and/or directing to appropriate personnel for resolution.
- Handles funds (e.g. textbook fines, parking permit fees, etc.) for the purpose of processing student fees, and the sale of products.
- Inputs information on a daily basis to the student attendance system for the purpose of accurate tracking and documentation of student attendance information.
- Maintains documents, files and records (e.g. may include discipline, attendance, etc.) for the purpose of providing up-to-date reference and audit trail for compliance.
- Prepares written materials (e.g. reports, memos, letters, convocation, graduation, awards, etc.) for the purpose of documenting activities, providing written reference and/or conveying information.
- Processes documents and materials (e.g. may include textbooks, student passwords, etc.) for the purpose of disseminating information to appropriate parties.
- Reconciles cash and/or account balances as assigned for the purpose of maintaining accurate balances and complying with accounting practices.
- Responds to inquiries from a variety of internal and external parties (e.g. staff, parents, students, public agencies, etc.) for the purpose of providing information, facilitating communication among parties and/or providing direction.
- Schedules a variety of activities (e.g. meetings, facilities usage, etc.) for the purpose of assisting in meeting staff needs and efficient utilization of personnel, equipment and facilities.
- Maintain regular personal attendance and punctuality for the purpose of ensuring efficient delivery of services to the District.
- Occasionally assist other personnel for the purpose of supporting them in the completion of their work activities.
