- Reception and Communication: Greeting visitors, answering phone calls, and addressing inquiries or redirecting them to the appropriate staff members. Maintaining a professional and friendly demeanor while representing the school district.
- Administrative Support: Managing office correspondence, including incoming and outgoing mail, emails, and faxes. Organizing and maintaining electronic and physical filing systems, records, and databases. Preparing reports, memos, and other documents as required.
- Scheduling and Coordination: Managing appointments, meetings, and events for district office staff. Coordinating and arranging logistics such as room reservations, equipment setup, and catering. Maintaining calendars and ensuring timely reminders. Reserving and monitoring van usage.
- Data Management: Entering and updating data into relevant systems and databases, ensuring accuracy and confidentiality. Compiling statistical reports and generating data as needed. Assisting with data collection and analysis for various district-wide projects.
- Supply and Inventory Management: Monitoring and ordering office supplies, equipment, and materials within budgetary constraints. Ensuring adequate stock levels and maintaining inventory records. Coordinating maintenance and repairs for office equipment as necessary.
- Confidentiality and Security: Safeguarding sensitive information and maintaining strict confidentiality when handling student, staff, and district-related data. Following data protection protocols and ensuring compliance with privacy regulations.
- Collaboration and Support: Assisting other district office staff members, administrators, and departments as needed. Collaborating with colleagues to ensure smooth workflow and effective communication within the office. Participating in meetings and taking minutes when required.
- Technology and Software: Proficiently using office software, including word processing, spreadsheets, email, and presentation applications. Operating office equipment such as copiers, scanners, and fax machines. Keeping up-to-date with relevant technology and software advancements. Meet with Ricoh representative monthly to monitor building usage and order supplies as needed.
- Checks and balances on substitute time and pay for the district.

TERMS OF EMPLOYMENT
Compensation is according to the non-certified salary schedule and based upon position category, experience and years of service. Non-certified benefits are offered according to full versus part-time status, and explained in the district’s benefit brochure.
EVALUATION
Performance of this position will be evaluated by the Superintendent of Schools and the Office Manager in accordance with board policies of the Warrensburg School District.
