Job Summary:
The Document Control Associate is responsible for supporting the organization’s data and document management processes, with a focus on maintaining accurate, secure, and accessible records. Key responsibilities include digitizing critical documents, coordinating document collection activities, and assisting with document-related projects to support cross-functional teams. This position will also play a key role in supporting the creation and maintenance of Advanced Product Quality Planning (APQP) documentation, including First Article Inspections (FAIs), electronic Component Approval Verification (eCAVs), and other quality and compliance records. The role is well-suited for candidates with experience in professional services, regulated industries, or document-intensive environments.
Primary Responsibilities:
- Digitize and maintain accurate records of technical and quality documentation in accordance with company and regulatory standards
- Collect, organize, and manage internal and customer-supplied documents across departments
- Support the creation, formatting, and maintenance of APQP documentation, including First Article Inspections (FAIs), electronic Component Approval Verifications (eCAVs), Process Flow Diagrams, Control Plans, and PFMEAs
- Assist Engineering, Quality, and Production teams with document-related tasks and special projects
- Ensure document control practices comply with AS9100, AS13100, and other customer/industry-specific requirements
- Provide administrative support for engineering change notices (ECNs), nonconformance reports (NCRs), and quality reports
- Manage document revision control and ensure proper distribution of updated documentation
- Track, archive, and retrieve documents as needed to support audits, customer requests, and internal reviews
- Maintain confidentiality and security of all controlled documents and proprietary information
- Participate in continuous improvement initiatives related to document control processes and systems
General Responsibilities:
- Maintain and organize controlled documents, ensuring accuracy, accessibility, and proper revision control.
- Manage electronic document control systems to support efficient and secure document workflows.
- Ensure documentation complies with AS9100, AS13100, and other customer/industry-specific requirements and other regulatory requirements to support audit readiness.
- Collaborate with cross-functional teams to coordinate document reviews, approvals, and distribution.
Education and Experience:
- Associate’s or Bachelor’s Degree in Business Administration, Information Systems, or other degrees related to Engineering or Quality preferred. Minimum of a High School Diploma or GED is required
- 1–3 years of experience in document control, administrative support, or records management (preferably in an aerospace, manufacturing, or highly regulated industry such as medical or defense) is preferred
- Familiarity with AS13100, AS9100, ISO 9001, or other quality management system standards
- Experience working with Document Management Systems (DMS), ERP systems, Engineering Change Control (ECN), FAI documentation, and/or configuration control preferred.
- Ability to interpret and manage technical documents (e.g., drawings, procedures, specs)
- Excellent written and oral communication skills across all levels of an organization
- Proficiency in Microsoft Office is required
