Job Description :
Provides administrative support to facilitate the work of the Parent Giving and Annual Giving teams.

Essential Functions :
- Answers phones, greets visitors, opens and distributes mail, complies with requests for information, forms, etc. Provides verbal and / or written responses to inquiries from parents, the public, employees, vendors, etc., regarding a variety of questions.
- Assists with communications and outreach to internal and external audiences, including database updates and coordinating mailings / mail merges.
- Monitors Annual Fund email account by responding to daily inquiries and escalating customer’s needs to the appropriate Annual Giving members.
- Coordinates and provides database-driven reports for timely review and analysis by staff members.
- Prepares reports, presentations, mailings, etc. (including using Raiser Edge reports, word processing, electronic mail, desktop publishing, etc.), and / or modifies, maintains, or creates spreadsheets and databases for analyzing or managing data. May perform calculations and computations, including basic statistical and / or data analysis and account reconciliation.
- Notifies colleagues of deadlines and coordinates class and room schedules.
- Where appropriate, prepares and drafts correspondence on behalf of department, prepares documents or reports and / or researches administrative issues and provides analysis or summary. Produces correspondence following standard letter writing etiquette, reviewing drafts for grammar, spelling, punctuation and content.
- Maintains calendar(s) for assigned staff, as needed prioritizing and arranging meetings, conferences and appointments; arranges necessary travel reservations and itineraries; anticipates and prepares background materials needed. Manages all receipts, expenses and business office travel documents.
- Prepares reports, presentations, mailings, etc. (including using word processing, electronic mail, desktop publishing, etc.), and / or modifies, maintains, or creates spreadsheets and databases for analyzing or managing data. May perform calculations and computations, including basic statistical and / or data analysis and account reconciliation.
- Where appropriate, prepares and drafts correspondence on behalf of the department, prepares documents or reports and / or researches administrative issues, and provides analysis or summary. Produces correspondence following standard letter writing etiquette, reviewing drafts for grammar, spelling, punctuation, and content.
- Schedules departmental functions and coordinates refreshments or food where necessary. Works with University Catering and outside vendors and plans set up with University Facilities.
- Plan, organize, and support events and programs, ensuring smooth execution and logistics.
- Organizes and plans conference and group meetings, and arranges travel and hotel accommodations.
- Support event management as needed for Annual Fund events.
Work Schedule : 8 : 30 a.m. - 4 : 30 p.m. This position works 35 hours per week.
