- Oversee the onboarding process for new musicians.
- Track and manage musician attendance at rehearsals, performances, and meetings.
- Address and resolve any conflicts within the music staff.
- Ensure accurate payroll processing for all musicians.
- Provide staff leadership in collaboration with the Music Director, including the coordination of staff meetings.
- Manage inquiries related to events and performances.
- Provide quotes and negotiate contracts for special events.
- Handle the staffing of events and create detailed schedules.
- Communicate event logistics to clients, staff, and musicians.
- Develop and manage event budgets, projections, and estimates.
- Track spending and manage financial documentation, including credit card purchases and expense coding.
- Schedule and coordinate rehearsal sessions, ensuring the District Heights Rehearsal Venue is properly secured.
- Facilitate clear communication with staff and musicians regarding rehearsal details.
- Print and distribute music materials to all relevant parties.
- Oversee media, publicity, and promotion efforts related to music events and activities.
- Manage outreach and partnership efforts to foster collaboration and growth.
- Handle the ordering and distribution of equipment needed for performances.
- Coordinate with the Commanders non-music staff to ensure seamless event execution.
- Distribute performance schedules and set lists to musicians.
- Oversee credential distribution for staff and musicians.
- Manage food and catering arrangements for events.
- Plan and coordinate auditions for new musicians, ensuring all logistical details are managed effectively.
- High School graduate or GED equivalent required
- Valid state driver's license required
- Must be proficient with computers and Microsoft Office programs
- Must be at least 18 years old
- Willingness to learn is required
- Possess a professional attitude that is customer service oriented
- Effective writing, telephone, and verbal communication skills
- Good judgment and detail-oriented
- Ability to work flexible hours including evenings, weekends, and holidays as needed.
- Bachelor’s Degree in Music, Arts Administration, Business Administration, or related field is preferred.
- Previous experience with Marching Band or a Musical Organization is a plus.
- Knowledge of Instrumental Music.
