Role Overview - This position provides confidential, technical, and administrative support to the Supervisor of Counseling Services and the counseling administrative team.
Minimum Requirements
High School Diploma/GED.
Three (3) years’ previous secretarial experience and/or advanced training.
Accurate typing and word-processing skills with ability to produce grammatically correct documents and correspondence.
Demonstrated skill in a variety of software and electronic communication tools including MS Office Suite (Outlook, Word, Excel, PowerPoint, etc.) and Google Apps.
Positive human relations skills including phone, email, and in-person interactions.
Ability to maintain department budgets and follow proper accounting and purchasing procedures, including use of automated systems.
Regular and predictable attendance which is an essential function of this position.
Ability to perform the essential functions of the job with or without reasonable accommodations.
Preferred Qualifications
Associate Degree in Business or a related field.
Knowledge and commitment to the organizational philosophy, goals, and policies of Washington County Public Schools (WCPS).
Role Responsibilities
Maintain high level of confidentiality in conducting office business/assignments.
Ability to anticipate and implement proactive solutions to ensure the optimal provision of school counseling department services to students within Washington County Public Schools.
Prepare reports to the Board of Education and MSDE each year with ongoing monthly reports.
Manage and prepare items for graduation and senior awards ceremonies, including, but not limited to, diplomas, honors certificates and awards, and student service learning.
Maintain department operational information (financial, statistical, program data), entering and updating data, retrieving and compiling reports.
Set up, modify, and operate computer data systems using standard software programs (spreadsheet, database, graphics, and desktop publishing).
Assist with preparation and implementation of the Washington County College Fair, Senior Student Service Learning Honor Night, Peer Helper Camp, and several scholarships.
Type a variety of letters, memos, reports, spreadsheets, etc. for the supervisor.
Enter purchase orders in the Washington County Public School purchasing system.
Communicate clearly and concisely in written correspondence and oral form.
Make arrangements and prepare materials as needed for appointments, meetings, conferences and workshops.
Prepare reports for summer hours from the HUB System and other training opportunities.
Distribute mail and inter-office correspondence.
Prepare contracts and MOUs for outside providers.
Efficiently maintain documents and timeline in the master school counseling department in Google drive.
Organize, plan, and execute work appropriately with minimal supervision.
Demonstrate courteous and professional demeanor to all stakeholders of Washington County Public Schools.
Perform other duties specific to the assigned department.

Salary : $20 - $36
