Role Overview
To provide administrative assistant support to assist and relieve administrator of paperwork and impediments so that he/she may devote maximum attention to education and educational administration.
Minimum Requirements
High School Diploma/GED.
Three (3) years' previous office experience and/or advanced training.
Accurate typing/keyboarding skills.
Bookkeeping experience.
Demonstrated skill in a variety of relevant software and electronic communication tools, including presentation, word processing, spreadsheet and database applications.
Experience using Synergy (student management system) or compatible database program.
Working knowledge of Board of Education policies and procedures, specifically, purchasing and accounting.
Regular and predictable attendance which is an essential function of this position.
Ability to perform the essential functions of the job with or without reasonable accommodations.
Preferred Qualifications
Excellent reading, grammar and punctuation skills.
Ability to maintain an organized office environment.
Ability to receive, answer and/or relay inquiries by telephone in a courteous manner and provides the appropriate response.
Ability to communicate clearly.
Positive public relations skills.
Familiarity with a wide variety of technology tools and their use; including Microsoft applications (Word, Excel, PowerPoint, Access, OneNote, Outlook, Publisher), Google Apps, iTunes, Apple App Store, video-conferencing technology, Google Suite, etc.
Experience with Visio and Adobe.
Training and experience working in a school environment.
Role Responsibilities
Administrative Assistant to the principal.
Serve as school bookkeeper.
Compose and type letters, memos, and reports with little supervision.
Maintain high level of confidentiality in handling school business (teacher observations, miscellaneous staff and student crisis, pupil personnel cases, social services and health department referrals, parent interactions, etc).
Work effectively and positively with the public in giving and obtaining information, referring callers and arranging appointments.
Compose, compile and disseminate information regarding annual requisitions, master calendar for students/staff, and staff attendance.
Apply Board of Education policies and procedures as required.
Utilize skills in computer applications, bookkeeping procedures and dictation transcription as required.
Prioritize various tasks, maintain and manage general operation of office.
Maintain/Monitor student records, student attendance and enrollment of new students and withdrawal of students.
Maintain financial records.
Handle purchasing and receiving of materials.
Perform a variety of complex secretarial, clerical and administrative assistant duties, independently and at the request of administration.
Make frequent decisions with delegated powers from administrator.
Demonstrate courteous and professional demeanor to all stakeholders of Washington County Public Schools.
Other duties as assigned.
