Minimum Requirements
High school graduate/GED.
Demonstrated skill in a variety of software and electronic communication tools, including MS Office Suite.
Demonstrated experience of office practices and procedures.
Regular and predictable attendance is an essential function of this position.
Ability to understand and follow complex instructions.
High degree of accuracy and attention to detail.
Ability to perform the essential functions of the job with or without reasonable accommodations.
Preferred Qualifications
Ability to work cooperatively with others on a team or independently.
Ability to understand and apply established rules and regulations to the processing and maintenance of departmental records.
Prior work experience in a purchasing, customer service, accounting or warehouse setting.
Coursework in business or accounting.
Role Responsibilities
Gain overall knowledge of best purchasing practices as governed by Maryland law, COMAR and WCPS Board of Education policy.
Ability to learn and become proficient in the Tyler Munis Financial software system.
Screen purchase requisitions in Munis for accuracy of product descriptions, pricing/shipping information, and other essential information to vendors.
Upload all vendor emails to corresponding purchase orders in Munis to maintain order status.
Act as liaison between staff and vendors regarding orders that require follow-up or troubleshooting order status.
Communicate with vendors to coordinate the return or exchange and delivery requirements.
Close purchase orders in Munis as instructed by the Accounting Department.
Provide departmental purchasing support at times of peak workloads and employee absences.
Prepare and send emails to staff, CES departments and schools about important purchasing information, updated procedures, Association of School Business Officials (ASBO) memberships and professional development opportunities, etc.
Provide Tyler Munis Financial software training for new staff and for existing staff when software changes occur.
Maintain the Purchasing Department Munis Quick Reference Booklet for staff reference.
Coordinate with the Purchasing Specialist to maintain “Vendor Discount” master lists. and other areas of the Purchasing website to ensure the most recent information and forms are available.
Maintain monthly Excel spreadsheet to monitor confirming invoices for Supervisor of Purchasing.
Responsible for selling WCPS excess inventory on GovDeals.
Demonstrate courteous and professional demeanor to all stakeholders of Washington County Public Schools.
Ability to learn and become proficient with Adobe forms and documents to streamline and assist departments and schools with purchasing processes.
