Administrative Assistant - 4-H Youth Development (4-H) and Family and Community Health (FCH)
SUMMARY
The Administrative Assistant is responsible for providing general secretarial services for the County Extension Agent. Primary programmatic direction will come from the County Extension Agent, the position requires a professional working relationship with all County Extension Agents in the department. The Administrative Assistant is responsible for cultivating a business office atmosphere.
SUPERVISION RECEIVED
This position reports directly to the Extension County Coordinator who is employed by Washington County and Texas A&M AgriLife Extension Service. This position will support other agents and programs in the department as assigned.

ESSENTIAL DUTIES AND RESPONSIBILITIES
· Maintains professional appearance, demeanor, and environment.
· Processes and handles Extension Office business efficiently, professionally, and in a timely manner.
· Directs callers/visitors to the appropriate County Extension Agent or information source.
· Assists with all program events/programs – programmatic content development, registration, event setup.
· Assists with Agriculture/Natural Resources and 4-H Youth Development programs as needed.
· Maintains all program files and records according to applicable records retention policies and procedures.
· Maintains accurate records of monies received for programs via cash, check, or electronic payment.
· Maintains applicable social media platforms with guidance from County Extension Agents.
· Processes, remits, and records payment for all fee-based programming in accordance with Texas A&M University Cash Management policies and procedures.
PERIPHERAL DUTIES
· Perform other duties as assigned.
· Provide support for Washington County AgriLife Extension Events after-hours as assigned.
· Travel out of town to attend meetings and/or trainings may be required periodically.

MINIMUM QUALIFICATIONS, EDUCATION AND EXPERIENCE:
· High school diploma or equivalent.
· Two (2) years related experience and/or training.
· Working knowledge of Microsoft Office Suite.
PREFERRED QUALIFICATIONS, EDUCATION AND EXPERIENCE:
· Proficient in utilizing Microsoft Office Suite, Adobe Suite, WordPress, Canva, etc.
· Basic understanding of Extension and Extension Related Programming.
KNOWLEDGE, SKILLS, AND ABILITIES:
· Ability to successfully perform the essential duties and responsibilities described above.
· Ability to successfully perform standard office practices and procedures.
· Ability to successfully read and interpret department, county, state agency policies and procedures.
· Strong communication skills – verbal and written with supervisors, coworkers, and the public.
· Ability to prioritize tasks as assigned by County Extension Agents.
· Ability to establish and maintain effective working relationships with coworkers.
· Must maintain regular attendance, be dependable, resourceful, and able to work independently.
· Collaborate with team members including Agents, Specialists, Staff, Interns, Volunteers, etc.
· Ability to perform tasks and receive supervision in a professional manner.
· Understand and follow verbal and written communications.
· Firm commitment to customer service.
· Strong knowledge of English language, spelling, grammar, punctuation.
· Willing to learn subject matter related to all segments of Extension (FCH, 4-H, Ag/NR, etc.)
CERTIFICATIONS, LICENSES & REGISTRATIONS
· Valid Texas driver's license required. (At time of hire)
· Ability to acquire Texas Notary Public designation.
SPECIAL REQUIREMENTS
· Subject to post-offer, pre-employment and reasonable suspicion drug testing, criminal background investigations, and motor vehicle record reports as appropriate or under policy.
· Must be insurable with the County insurance carrier.
· Must maintain a safe driving record throughout employment.
· Must pass a volunteer screening with Texas 4-H – requires background screening and volunteer training.
Job Type: Full-time
Pay: $22.44 per hour
