JOB TITLE: Office Manager & Administrative Assistant
REPORTS TO: CEO
STATUS: Full Time (32-40 hours) /Non-Exempt
LOCATION: Seattle
Washington Holdings currently has an opening for the Office Manager & Administrative Assistant at our corporate office. The Office Manager & Administrative Assistant will be responsible for maintaining office functions while supporting the property management and executive team. This position is expected to be approximately 32–40 hours in-office per week, Monday through Friday. The ideal candidate will establish a consistent weekly schedule, with a set arrival between 8:00 and 9:00 AM daily. A 30-minute unpaid lunch break will be provided each day.
Responsibilities:
- Manage day-to-day office operations ensuring a clean, organized, and welcoming environment.
- Provide administrative support to all staff as needed.
- Ensure the office is stocked with supplies and essentials to support a smooth work environment.
- Monitor kitchen inventory, oversee regular restocking of snacks and beverages, and ensure the cleanliness and upkeep of the area.
- Manage vendor relationships, including cleaning, catering, and event services.
- Coordinate conference room bookings while becoming proficient in providing internet access to guests and using the conference room TV display.
- Manage shipments and mail processing.
- Maintain office equipment and machinery including cleaning, maintenance, repairs, and contract renewals.
- Assist Vice President of IT with various projects and campaigns.
- Prepare and distribute office correspondence.
- Event coordination (monthly and quarterly).
- Manage various Company plans including but not limited to transit and phone plans.
- Assist Director of HR with timekeeping process.
- Oversee and recommend improvements to office systems including but not limited to computer and office equipment maintenance and repair, office supply ordering and inventory, and filing systems.
- Occasionally this role requires standing, walking, kneeling, and lifting or moving up to 20 lbs.
Desired Qualities:
- 2 years experience working in a professional corporate environment.
- IT experience preferred.
- Effective communication, both verbal and written.
- Self-starter, detail-oriented, ability to work autonomously, prioritize tasks, manage time effectively, and exercise sound judgement.
- Team player, a natural relationship builder and collaborator with excellent interpersonal skills.
- Strong organizational, project management, and problem-solving skills with outstanding multi-tasking abilities.
- Service-oriented and not above rolling up your sleeves to solve problems across the company.
- Must reside in the greater Seattle area, full availability to work 5 days per week in-office.
