Job Description
Role and Responsibilities
The Lead Patient Service Coordinator performs the duties of a Patient Service Coordinator but also works with clinic management as the first line supervisor for clinic staff.  They will promote the patient first ethic, a culture of safety and a clinic environment that promotes staff engagement and process improvement (may be assigned to lead Lean Initiatives).   This position also participates in hiring and oversees the training of new staff and ensuring proper protocols and policies are followed.

psc duties:
  1. Acts as first impression of clinic and WTMF as a whole.  Ensures every interaction promotes the Patient First Ethic. 
  2. Checks in patient in the Epic system which includes: reviewing and updating demographic information, verifying insurance, scanning copies of insurance cards, collecting co-pays and balances from patients. 
  3. Instructs and assists new patients on the proper completion of their new patient paperwork.
  4. Continually monitors the schedule and communicates changes to patients.
  5. Maintains clean waiting room and working areas.
  6. Answers telephone, schedules appointments, screens calls, provides information or routes calls to the appropriate person.
  7. Prepares mailing of forms for new patients to be complete, or directs patient to the website to download the forms.
  8. Reviews and preps each patient chart before the visit.
  9. Performs opening and closing standard procedures.
  10. Checks for current referrals and/or authorizations for applicable patients. Obtains new referrals from primary care physician as necessary per office site.
  11. Photocopies and faxes various documents as necessary.
  12. Completes check out process including scheduling return appointments. When applicable, direct schedules appointments into other WTMF clinics.
  13. Performs related tasks and assignments as necessary.
  14. Complies with established organizational policies and procedures of WTMF.

lead responsibilities:
 
  1. Makes daily rounds and provides feedback to staff on improvement areas and recognition where/when warranted.
  2. Consults on any questions or concerns that may arise with respect to patient care.
  3. Consults with management on questions regarding personnel issues of direct reports.
  4. Promotes teamwork and provides leadership and direction to staff.
  5. Delegates work assignments to staff including, but not limited to:
    1. Checking expiration dates and logging all medications
    2. Prepping and cleaning exam rooms
    3. Inventory/stocking supplies
    4. Ensuring quality assurance and safety protocols
  6. Assists in writing performance evaluations
  7. Participates in the hiring process including screening resumes, conducting phone interviews, being part of the interview team, check references.
  8. Oversees the training and competency sign off of new staff and ensuring proper protocols and policies are followed.
  9. Assists in on-going training and documentation for existing staff.
  10. Participates in and potentially leads staff meetings and huddles.
  11. Shares responsibility management for QA programs including chart audits, utilization of resources, log book maintenance and equipment checks.
  12. Utilizes the performance standards to assure uniformity of compliance and competency in clinical skills.
Scheduling
  1. Assisting in staffing and scheduling.
  2. Keeps abreast of staff availability and encourages flexibility of covering shifts.
  3. Collaborates with management on staffing concerns and problems.
supplies
  1. Tracking of inventory and supplies including:
    1. Medical supplies
    2. Participates in clinic 5s
    3. Ensure sufficient exam room and clinic inventory and prepares exam room.
community relations
  1. Assists with educational programs
  2. Promotes patient surveys, which will encourage feedback on our services

Physical Demands:

Qualifications and Education Requirements
  1. High School graduate or GED required.
  2. Minimum of 5 years previous medical office experience in patient care.

Salary: $30.00 per hour
