Position Summary

The Administrative Coordinator will be a part of the Advancement Administration team and report to a leader within the team. Advancement Administration supports University Advancement in the areas of Talent Management, HR, Organizational Management, Finance, and Office Services. Responsibilities include providing project and administrative support to senior leaders in the Advancement Administration team in assigned areas. The incumbent will have superior attention to detail, outstanding oral and written communications skills, advanced computer skills, ability to work well under deadlines and to handle multiple projects simultaneously, and ability to apply good judgment and handle confidential information and situations with sensitivity and discretion.

Office Services supports all areas of University Advancement. The UA staff is located in several locations that cover over 140,000 square feet of space. The person in this role will assist in coordinating and carrying out the services provided to support the office and building operations.

Job Description

Primary Duties & Responsibilities:

  • Manage daily operations for assigned areas. Makes recommendations regarding procedures and practices. Assess and coordinate requests for assigned areas of Advancement Administration.
  • Provide administrative support to assigned areas, which may include arranging and maintaining work files, managing calendars, providing telephone support, scheduling meetings involving complex calendars, and/or completing Workday transactions. Create and format various reports and presentations.
  • Manage projects for assigned areas including preparation of supporting materials, updating spreadsheets and data tracking, personnel projects, and updating and communicating procedures as appropriate. Maintain department policies, procedures, and keep information up to date on University Advancement intranet for assigned areas.
  • Provide back up support for other areas of Advancement Administration, including backup for receptionists.
  • Processing procurement and reimbursement requests, monitoring and ordering supplies, and oversee budget tracking as assigned.
  • Perform other duties as assigned.

Salary Range

$21.17 - $32.85 / Hourly

The salary range reflects base salaries paid for positions in a given job grade across the University. Individual rates within the range will be determined by factors including one's qualifications and performance, equity with others in the department, market rates for positions within the same grade and department budget.
