Reporting to the Associate Director of Recruitment and Admissions, the Graduate Recruitment Specialist recruits for all graduate programs within the Sam Fox School of Design & Visual Arts at WashU. As one of two recruiters, the position is knowledgeable about all Sam Fox School graduate programs, but will have a primary emphasis in either art (MFA in Visual Art, MFA in Illustration & Visual Culture, and MDes in Human Computer Interaction & Emerging Technology) or architecture (Master of Architecture, Master of Landscape Architecture, Master of Urban Design, MS in Architectural Studies, and MS in Advanced Architectural Design).The Graduate Recruitment Specialist works with academic directors and program chairs to achieve specific recruitment goals for both domestic and international students while increasing the overall quality and diversity of applicants to each program. The Specialist collaborates with administrators, faculty, and staff throughout the recruitment and admissions process on planning, communications efforts, application review, admissions and scholarship recommendations, and the tracking and reporting of recruitment efforts and trends.
The Sam Fox School of Design & Visual Arts at WashU is a unique collaboration in architecture, art, and design education within the context of an internationally recognized research university. Comprising the College of Architecture and Graduate School of Architecture & Urban Design, the College and Graduate School of Art, and the Mildred Lane Kemper Museum, the Sam Fox School offers a depth of professional education in conjunction with one of the premier university art museums. The School has a strong commitment to social justice, environmental justice, and community-based work. The Graduate Recruitment Specialist supports a diverse population of approximately 225 graduate students in the School, and candidates should demonstrate a commitment to creating and sustaining an inclusive and equitable environment.
The position requires some evening and weekend work, flexible hours, and seasonal travel.
Job Description
Primary Duties & Responsibilities:
Recruitment Planning and Evaluation
- Collaborate in the development of an annual strategic plan for graduate recruitment, including identification and selection of schools for recruitment, travel and events, individual and mass communication, advertising, and digital media. Clearly articulate recruitment goals and tactics.
- Generate broad buy-in for recruitment activities among academic leaders, faculty, staff, and current students. Leverage recruitment networks and foster participation in recruitment activity across key stakeholders.
- Identify desired recruitment venues for individual graduate programs and for the overall umbrella of Sam Fox School graduate programs. Plan attendance at fairs and portfolio days as well as campus visits in coordination with chairs and staff colleagues and ensure participation by appropriate faculty as needed.
- Survey current students to better understand trends, motivations, and key messages for prospective students.
- Survey candidates who decline Sam Fox graduate program acceptance to understand key factors in their decision making.
- Use quantitative measures and qualitative assessments to track and analyze success of recruitment efforts.
- Lead efforts in coordination with Directors, Associate Dean, and Alumni and Development staff to engage alumni in recruitment and yield activities.
- Ensure timely processing of all recruitment expenses.
Recruitment Outreach and Cultivation
- Engage with prospective students and other key admissions stakeholders at graduate school fairs, portfolio reviews, college and university campuses, and Sam Fox School-organized receptions and information sessions. (Travel required).
- Collaborate with the Sam Fox School Communications Team to develop key recruitment messages and materials in print and digital formats across all graduate programs.
- Strategize and facilitate faculty recruitment travel.
- Develop expertise and maintain proficient knowledge of Sam Fox School graduate programs, admissions policies and procedures, graduate scholarships and financial support, curriculum, faculty expertise, accreditation, internships, career services and professional opportunities.
- Ensure appropriate data capture and timely follow up for all prospective students who attend recruitment events.
- Serve as a helpful and knowledgeable direct contact for prospective students; interpret policies and procedures and provide adept guidance through the inquiry, application and admissions process through various channels of communication. Advise and counsel prospective students to assess fit with Sam Fox School graduate programs based on experience, goals, and interests.
- Work with chairs and program/admissions staff to plan program open houses and other recruitment and post-admission events for graduate students.
- Build and maintain positive relationships with Sam Fox School administration, faculty, staff, alumni, students, and other constituents integral to student recruitment efforts.
- Identify key external stakeholders, such as faculty, professional practitioners, and alumni, who can support graduate recruitment success. Work with administration, faculty, and staff colleagues to determine appropriate strategies to build and maintain strong relationships with these stakeholders through ongoing outreach and communication.
- Meet with prospective students individually on the Sam Fox School campus, provide tours of facilities, and connect prospects with faculty and current students.
Admissions and Scholarship Processes
- Maintain familiarity with all aspects of the admissions and candidate review process in order to answer questions and serve as administrative support during peak periods.
- Assist with managing regular communications with candidates during the submission period.
- Conduct pre-screening material audits for completed applications.
- Manage signature scholarships promotion and review processes for graduate admissions candidates.
Additional Responsibilities
- Serve on school or university committees as requested to further recruitment and enrollment efforts.
- Assist with undergraduate recruitment activities in the absence of other assigned personnel or during peak visit periods.
- Perform other duties as assigned.
