Summary Description
Under general direction of the TMCC High School Administrator, performs secretarial responsibilities at TMCC High School that include bookkeeping, registration, attendance, counseling support and student support initiatives. Assists the School Counselor and the School Registrar in processing records and documents and assists Administration in coordinating meetings and activities that support student success. Incumbent will be required to work during summer months to assist in registration and collection of student activity fees. Incumbent will perform related work as required. This school is a non-traditional high school with an enrollment of approximately 235 high school students.
Exemplary Duties/Responsibilities
The incumbent serves as Assistant Bookkeeper, responsible for managing the Student Activity Fund and all expenses related to the school's student activities. General duties:
Maintains filing system containing required student information, including permanent records, cumulative folders and health records; makes sure all parents complete on-line registration; types student information into Infinite Campus and creates spreadsheets for managing student information, when necessary; receives proficiency testing results from Testing Coordinator and certifies on permanent record students passing; sets up computer file and calculation system for student information and enters in computer; assists in receiving, evaluating and converting to credit system all transcripts received from students enrolling from other school districts; reviews graduate records to assure graduation requirements have been satisfied; calculates grade point averages, class ranking and number in class, and types information on student permanent records; prepares transcripts and mails to colleges and universities as requested by students; receives release requests and forwards copies of student records.
Assists School Counselor and Administration: Collaborates in planning and hosting parent information nights and student-parent-public events and prepares handouts/information packets for those events. Maintains records on students who are referred to the school's academic and behavioral intervention program, Student Support Program (SSP), including scheduling student-teacher-parent conferences for those students who need intervention. Schedules rooms for meetings, events and testing. Completes work orders for media, room set up and food ordering/delivery.
The incumbent performs other secretarial duties as requested.

Education/Experience: Any combination equivalent to education and experience that would likely provide the required knowledge and skills is qualifying. A typical way to obtain the knowledge and skills would be:

- Prepares and maintains the general ledger books containing in accordance with school district policies and regulations; collects and verifies student activity fund receipts; prepares and makes bank deposits; issues and monitors student activity purchase orders; verifies and writes checks for student activity funds; prepares general journal/adjustment entries; records transactions for student activity funds into computerized accounting system; maintains daily balances of general ledger; performs monthly bank reconciliation; prepares monthly reports for principals review and submission to district office; prepares monthly statements for activity advisors; prepares activity accounts for yearly audits; maintains and monitors petty cash funds.
- Receives, records, and refunds student textbook deposits; collects and maintains record of student textbooks returned; collects student textbook fines; verifies, records and refunds all other fees and deposits paid by students; monitors student activity depository accounts for the school; prepares payroll documents and independent contractor agreements for student activity fund payments

- Answers telephones and types various documents; assists students with problems regarding transcripts, credit counts and grade point averages; assists counselors with questions regarding grades, credits and transcripts; and contacts schools for records and grades.
Assists School Counselor and Administration: Collaborates in planning and hosting parent information nights and student-parent-public events and prepares handouts/information packets for those events. Tracks college progress reports and documents results. The incumbent assists counselor to help all students become career and college ready.
- Assist students with developing skills that support academic achievement and lifelong learning; assists students with investigating career opportunities; assists students with acquiring skills that maximize their personal and social development; maintains confidentiality, facilitates and /or participates in conferences with teachers, students, and parents; consults with and serves as a resource for the community; maintains student records and uses Infinite Campus (IC) appropriately, participates in on-going professional development, complies with school and district policies and state and federal laws; attends trainings as required and supports staff progress towards educational goals.
- Assists in principal, counselor and teachers coordinate student activities and events by communicating with the community, confirming participation in those activities, e.g. Career Day and Senior Portfolio Day; handles student and event participant rosters; requests and confirms space, media and equipment for activities and events.
- Responds to requests for investigation and evaluation of truancy cases; consults with schools, locates student, parents, guardians and/or other responsible adults; interviews relevant parties either in person or by telephone; works with school, students and parent or guardians to develop attendance agreements; informs parties of legal issues regarding compulsory attendance laws.
- Gathers data and prepares detailed reports of finding; maintains records and correspondence as required by District policies and procedures.
- Contact and works with community agencies such as: social service, law enforcement, recreational, religious, educational and legal services; refers students and parents to community programs that will support the student and family; works with school staff; identifies and reports suspected cases of child abuse and neglect.
