Position Description:
The Content, Access and Collections Services Specialist perform regularly scheduled duties at the circulation desk and within the collection development office. As a member of both the Access Services and Collection Development teams, this position may handle any part of the responsibilities assigned to either or both locations. At Access Services, these include Interlibrary Loan, Course Reserves, and/or the coordination of library events. Within Collection Development, these include ordering, receiving, cataloging, and processing new, replacement, and/or other library materials. This role requires a high amount of scheduling flexibility to meet the needs of the Bailey Library. This includes opening and/or closing the Library Monday-Friday including evenings and/or Saturdays.
Essential Job Duties and Responsibilities:
- Provide coverage each week at the access service desk. Specific duties may include but are not limited to: maintaining user accounts, checking out and checking in physical materials, opening and closing the library
- Utilize the library management system and/or other library resources to perform access services and/or collection development transactions
- Receive and verify shipments of ordered materials
- Process invoices of items received
- Download records and perform copy catalog tasks
- Create, maintain, modify, and delete holdings and item records as directed
- Prepare items for library use. For example property stamps, security tags, etc. Processing tasks may be subject to change to meet current needs
- Process materials and electronic resource orders using appropriate software and vendor sites. Place orders in a timely and accurate manner
- As directed, prepare and submit electronic forms as needed for ordering, payment, etc. of library materials, property, resources, and services
- Receive, process, and, as necessary, claim journals and other serials. Maintain serial records electronically
- Actively participate in Bailey Library programs, division meetings, and programs, & campus events serving as a visible and positive representative of the Bailey Library & Washtenaw Community College who is committed to student success
- Deliver courteous assistance to patrons, inform them of library policies, exhibit patience, handle problem resolution, maintain accuracy in transactions, and demonstrate exceptional communication skills amid frequent interruptions
- Provide basic library and campus information services to users in-person and over email and phone
- Assist patrons with copy machines, printing, and ensuring the operation of devices by refilling paper and clearing paper jams, for example. Troubleshoot patron account issues with printing
- Collect statistics on library space usage and/or library resource usage to help inform decision-making related to service improvements at the library
- Participate in collection inventory and maintenance projects and shelving to assure and enhance quality of service for the community. This includes the periodicals and new book-browsing collections
- Work with library programs and events; assist in setup/teardown of tables and materials. May represent the library at community gatherings and help coordinate the library activity table
- Facilitate the use of library course reserves and electronic reserves operations
- Utilize the college administrative system to obtain verification information and perform transactions for students, faculty, and staff
- Regular attendance on campus is required for this position
- Other duties as assigned
Related Duties:
- Assist with the training of Student Workers assigned to area
- Maintain and update Access Services phone message system.
- Operate and troubleshoot office equipment
- Provide basic paraprofessional help in finding and obtaining materials in various online and print resources, such as searching for a book title
- Monitor library materials pool by maintaining and reconciling internal accounting records against financial services records
Hours/Schedule: Forty (40) hours per week with variable hours which may include opening and/or closing the library.
Physical Demands:
- Ability to lift and carry library materials weighing up to approximately 40 pounds, reshelve materials on high and low shelves, and push and pull fully loaded book trucks.
Minimum Qualifications:
- High school diploma or GED equivalent and 2 years relevant work experience and 15 credit hours in related coursework or the equivalent combination of education and work experience.
- Basic knowledge of library principles, methods, techniques, and procedures.
- Knowledge of and ability to learn software applications for database management, spreadsheet organization and formulation, word processing,g and graphic design layout and construction. Ability to learn multiple software programs, including the Library’s unique system and other electronic library tools. Familiarity with the internet and web-based applications.
- Ability in spelling, basic math and accurate record-keeping, accurate alphabetical and numerical filing, telephone etiquette, and data entry skills.
- Excellent organizational skills, interpersonal skills, problem-solving skills, resourcefulness, and the ability to prioritize and balance competing needs in a rapid-demand environment.
- Ability to handle confidential records appropriately.
- Ability to conduct and record cash transactions accurately and according to department procedures.
- Ability to work independently, unsupervised, and as part of a team, establishing and maintaining effective working relationships.
Preferred Qualifications:
- Experience with integrated library management systems and tools, including ExLibris Alma, OCLC Connexion, OCLC Worldshare, Springshare LibGuides, or equivalent.
