Duties & Responsibilities
Pre-Event Planning:
- Act as the primary liaison among talent, clients, vendors, and internal departments.
- Develop and manage comprehensive event budgets and timelines.
- Lead regular planning meetings and maintain clear, consistent communication across stakeholders.
- Conduct venue and vendor research, negotiate contracts, and coordinate logistics.
- Produce compelling presentations, creative proposals, and detailed event layouts.
- Oversee conceptualization, design, and production of event artwork and collateral.
- Collaborate cross-functionally to assess technical, operational, and logistical requirements aligned with client objectives.
- Coordinate activation materials, inventory management, and asset tracking.
- Lead and conduct venue site visits.
- Serve as the main on-site point of contact, ensuring alignment with talent goals and client objectives.
- Facilitate clear, proactive communication with agents, brand clients, talent managers, and internal staff.
- Direct and manage on-site staff and vendor operations.
- Oversee set-up, execution, and teardown, ensuring operational logistics are efficiently managed.
- Coordinate travel logistics for the event team.
- Adapt and respond effectively to event-day challenges.
- Bachelor's Degree or equivalent experience.
- Minimum 3 years of event production or management experience; 5 years preferred.
- Deep understanding and enthusiasm for the creator economy and digital media landscape.
- Proven experience with talent-driven activations across multiple passion areas.
- Exceptional interpersonal and communication skills, adept at engaging diverse stakeholders.
- Strong critical thinking and creative problem-solving abilities.
- Advanced project management, budgeting, and time management skills.
- Proven ability to negotiate contracts and manage vendor relationships.
- Highly adaptable with strong multi-tasking abilities.
- Ability to travel often and work weekends when necessary
- Physically capable of lifting up to 50 lbs
