ESSENTIAL DUTIES AND RESPONSIBILITIES
Warranty Process Development and Improvement :
Evaluate existing warranty processes and identify areas for improvement.
Develop and implement new warranty procedures to enhance efficiency, reduce turnaround times, and improve customer satisfaction.
Collaborate with internal teams to document and communicate updated processes.
Warranty Claim Management :
Process, review, and document warranty claims in accordance with company policies.
Verify warranty eligibility by reviewing contracts, purchase records, and maintenance documentation.
Manage the RMA process for warranty cases and work with accounting to process customer and vendor credits.
Documentation and Recordkeeping :
Establish and maintain documents and records in appropriate files.
Create and update equipment manuals and technical service bulletins as directed by technical support.
Photocopy, scan, and file documents to ensure accurate and organized recordkeeping.
Customer and Vendor Support :
Serve as the primary point of contact for warranty-related inquiries, resolving complaints or referring them to the appropriate person for resolution.
Assist customers with troubleshooting issues to determine warranty coverage.
Coordinate with accounting and vendors to track and process credits for warranty cases.
Research and Reporting :
Conduct research for projects and provide insights to support decision-making.
Generate reports to monitor trends in warranty claims and identify areas for improvement.
Collaboration and Other Duties :
Collaborate with manufacturers, vendors, and internal teams to streamline warranty processes.
Train team members on updated warranty policies and procedures, as necessary.
Perform other duties as assigned by supervisors to support company goals.
EDUCATION AND / OR WORK EXPERIENCE REQUIREMENTS :
Education and Experience :
Associate or bachelor’s degree in a related field (preferred).
Minimum of 3 years of experience in warranty coordination, customer service, or a related role, preferably within the refuse, automotive, or heavy equipment industry.
Skills and Competencies :
Proficiency in Microsoft Word, Excel, PowerPoint, Workwise, and other web-based programs.
Experience with Salesforce, Adobe InDesign, AutoCAD, and Smartsheet is a plus.
Strong organizational, interpersonal, and multitasking skills with attention to detail.
Excellent verbal and written communication skills.
Thorough knowledge of modern office practices and procedures and the use of office machines and equipment.
Ability to understand and interpret pertinent policies and procedures clearly and accurately.
Strong problem-solving and conflict-resolution skills.
Other Requirements :
Ability to establish and maintain effective working relationships with supervisors and co-workers
Ability to work independently and collaboratively in a fast-paced environment.
Strong time management skills to handle multiple claims simultaneously.
Willingness to potentially travel to customer sites or vendor locations as needed.
