Servpro of Morton Grove/East Niles is seeking someone to immediately fill our position as Administrative Assistant. This position requires someone who is dependable, punctual, and who is comfortable working in a challenging and fast-paced environment. We are looking for someone who is extremely organized and has excellent communication skills. The Administrative Assistant needs to be able to work as part of a team as well as independently. Most importantly we are looking for someone who takes initiative and can see the global picture of the business. This position involves diverse responsibilities.
Compensation:
$19.00 - $21.00 per hour based on experience

Primary Responsibilities:
· Answer phones, provide exceptional customer service, and maintain a detailed call log.
· Manage and perform daily activities to ensure completion of tasks according to policy
· Coordinate and maintain Franchise communication
· Coordinate schedules to optimize work efficiency and balanced job scheduling.
· Manager Work-in-Progress (WIP) Board to keep staff updated on daily schedules and job statuses
· Complete First Notice of Loss (FNOL) documentation accurately
· Oversee job file documentation and communications
· Bill customers for services, process payments, and manage accounts receivable
· Maintain an organized file system and company calendar/schedule
· Manage incoming/outgoing email, faxes, as well review and route Bulletins
· Key Measurements and Compliance
· Ensure accuracy of employment files and records
· Perform other job duties as assigned
Experience/Skill Requirements:
· High school diploma/GED. Associate/bachelor’s degree preferred
· 2 year(s) of office, accounting, or customer service management experience preferred
· Familiarity with basic accounting principles, bookkeeping and financial reporting
· Proficiency in computer applications and ability to adapt to new software applications
· Proficient in Microsoft Office (i.e., Outlook, Word, Excel) and QuickBooks®
· Outstanding written and verbal communication skills, including proper pronunciation, grammar, and a consistently courteous and professional tone of voice at all times
· Experience in cleaning/restoration industry preferred but not required
· Ability to successfully complete a background check and drug screen subject to applicable law
Job Type: This job is a full time in the office position.
Hours: Monday through Friday 7:30 am - 4:00 pm. This is an emergency service business so reliability and accountability are a must.
This position may occasionally require longer hours, and some flexibility in hours may be needed dependent upon the business needs.
