Position Summary
The Partnerships and Communications (P&C) Data and Administration Specialist will assist in the day-to-day operations of the P&C Division and report to the Director of Partnership Services and Administration. The Data and Administration Specialist will assist in the build-out, training, and use of Smartsheet, the P&C division’s project and event management platform. Additionally, the Data and Administration Specialist will assist in developing P&C business processes and procedures, as well as provide administrative and operational support to P&C leadership in the execution of projects and activities such as cyclical P&C reporting, budgeting, and forecasting, ROI analysis, external reporting, and managing operational projects, i.e., year-end statement production.
This role directly communicates and collaborates with fellow project managers and department leaders and will serve as the P&C liaison for Finance and IT in many data-related projects and initiatives. The ideal candidate will be able to work within complex organizational structures successfully and understand multi-department projects to improve systems and processes continuously. This full-time position can be based remotely within the United States or at Water Mission’s headquarters in Charleston, SC.

A successful Data and Administration Specialist will:

- Work with Water Mission’s Information Technology Department and Finance and Accounting Department to produce reports and continually optimize workflows, resolve issues, and enhance the existing software systems to further align with P&C division goals and activities.
- Use system queries within the Raiser’s Edge/NXT database to run lists and create reports.
- Provide feedback to the Partner Services Staff related to data quality improvement, record duplication, and data entry process efficiency.
- Set up and maintain dashboards and reports for P&C leadership that reflect ongoing activities and outcomes.
- Create data-driven analysis to help inform the P&C division’s program of work.
- Perform tasks within the ERP system, including project creation and closure, fund creation and closure, transfer of funds, report development, and budgeting and forecasting.
- Develop written database policies documenting data entry protocols.
- Conduct special data-related projects and activities to support departments as assigned.
- Develop and maintain strong, effective relationships with all P&C departments, project teams, and major stakeholders.
- Assist in the build-out, training, and use of Smartsheet as the P&C division’s project and event management platform. Serve as the division subject matter expert for Smartsheet.
- Utilize Smartsheet to plan project deliverables, assign tasks, establish timelines, and monitor progress.
- Manage administrative projects such as year-end statement production and data submissions to Guidestar, Excellence in Giving, ECFA, and other entities.
- Provide, as needed, administrative support to the Director of Partnership Services and Administration and P&C leadership, I.e., prepare meeting agendas, accurately record meeting minutes and action item follow-ups, prepare documents, reports, and presentations, and update Raiser’s Edge records for quality data tracking.

- Bachelor’s Degree required.
- 2-4 years of experience in project management, operations, and/or donor development.
- Commitment to organizational goals and be approachable to communicate with different stakeholders effectively.
- A desire to think creatively to solve problems and operate various processes.
- Ability to deliver high-quality, detail-focused work in a changing, fast-paced environment.
- Superior level of organization and attention to detail required.
- Experience with Smartsheet or other project management software preferred.
- Proficiency in managing Raiser’s Edge or other CRM/database preferred.
- Proficiency in Smartsheet software preferred.
- Proficient in using computers and Microsoft 365, specifically Office, Outlook, Excel, and PowerPoint.
- Ability to travel to Charleston headquarters at least two times a year.
- Flexibility to work periodic nights and weekends as required for ministry operations.
- Domestic and international travel may be expected up to 10%.
- Excellent written and verbal communication skills, including the ability to clearly articulate ideas and feedback constructively.
- Home internet bandwidth strong enough to support video conferencing and other job-related responsibilities.
