Overview
We are seeking a highly organized and proactive Executive Administrative Assistant to support the executive director. The ideal candidate will possess exceptional organizational skills, a strong attention to detail, and the ability to manage multiple tasks efficiently. This role is crucial in ensuring smooth operations within the office and providing high-level administrative support.
Duties
- Answer telephone calls in professional manner and refer them to the appropriate staff
- Learn and use appropriate computer software programs, one for Multi-Listing Service and the other for Membership database system.
- Handle all registrations for upcoming events and education seminars
- Prepare new member orientation packets
- Prepare daily deposits and take them to the bank
- Manage and maintain member database.
- Handle any questions from members about association services.
- Handle all new membership inquiries.
- Perform data entry tasks accurately and efficiently to maintain up-to-date records.
- Coordinate office management activities, ensuring that the workspace is organized and well-maintained.
- Handle clerical tasks such as filing, organizing documents, and maintaining office supplies inventory.
Requirements
- Proven experience in an administrative role or similar capacity.
- Strong organizational skills with the ability to prioritize tasks effectively.
- Proficiency in data entry with a keen eye for detail.
- Familiarity with office management procedures and best practices.
- Excellent customer service skills with a friendly demeanor.
- Experience in project coordination is preferred but not mandatory.
- Strong clerical skills with experience in maintaining organized records.
