As a Dental Office Manager / Assistant , you will play a vital role in ensuring the smooth operation of our dental practice while delivering excellent patient care. This hybrid position combines administrative management with hands-on support, making it ideal for someone who is detail-oriented, organized, and passionate about patient service.
KEY RESPONSIBILITES
Administrative Duties :
Manage patient scheduling, including appointments, confirmations, and reminders.Oversee front desk operations, ensuring an organized and welcoming reception area.Maintain accurate medical records and ensure compliance with HIPAA regulations.Process patient intake forms and update information in the electronic health record system.Provide administrative support, including answering phones, responding to inquiries, and managing correspondence.Manage office mail, including sorting and sending outgoing mail.Handle billing processes, including insurance verification and payment processing.Maintain inventory of office supplies and dental materials, placing orders as needed.Patient Coordination & Clinical Support :
Greet and check in patients, ensuring a warm and professional experience.Prepare daily schedules for providers and organize patient files.Assist with treatment room preparation and sterilization of dental instruments.Ensure smooth patient flow by keeping providers informed of any schedule delays.Support patients with insurance paperwork and billing questions.Make patient phone calls to confirm or reschedule appointments and resolve inquiries.Collaborate with dental staff to ensure an efficient workflow and high-quality patient care.Requirements : Qualifications
High school diploma or equivalent required; additional education in healthcare administration or dental assisting is a plus.Previous experience in a dental office is preferred.Familiarity with electronic health record systems (such as Open Dental) is a plus.Strong organizational skills and ability to multitask in a fast-paced environment.Effective communicator with excellent verbal and written skills.Knowledge of medical and dental records management.Understanding of practice management principles and healthcare fiscal management.Knowledge of JCAHO and HIPAA standards is an advantage.Ability to work effectively as part of a team while also being self-motivated.A positive attitude, strong work ethic, and commitment to exceptional patient care.Physical Requirements
