Position Summary:
This position serves as part of the administrative team for the Waterloo Telecommunications Utility, DBA, Waterloo Fiber, an Internet Service Provider (ISP), and reports to the Customer Support Manager.
The receptionist is responsible for maintaining an organized and welcoming office environment while serving as the first point of contact for customers, visitors, and vendors. This role ensures the smooth daily operations of the office by managing administrative tasks, scheduling, and basic customer service duties. A successful employee in this position will have strong organizational and communication skills and be able to multitask in a fast-paced environment.
Employees with Waterloo Fiber are required to work within the framework of governing federal, state, and local laws and policies. The position exercises latitude and independence in the performance of assigned projects and tasks.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Promote and comply with Waterloo Fibers values we grow together, we lead the way, we KNOW Waterloo.
- Greet visitors and customers in a professional and friendly manner, directing them as needed.
- Answer and direct phone calls, emails, and other correspondence efficiently.
- Manage office supplies inventory and place orders as necessary to ensure smooth operations.
- Maintain organized records and filing systems, both digital and physical.
- Assist in scheduling meetings, appointments, and conference room bookings
- Coordinate incoming and outgoing mail, deliveries, and courier services.
- Assist with administrative support tasks, including data entry, report generation, and document preparation.
- Provide basic customer support by addressing general inquiries and assisting walk-in customers.
- Ensure office cleanliness and organization, coordinating with vendors for any necessary maintenance or repairs.
- Assist the Customer Support and Operations teams with additional tasks as needed.

- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace.
- Excellent written and verbal communication skills.
- Ability to handle confidential information with discretion.
- Strong attention to detail and accuracy in administrative tasks.
- High School Diploma or GED required.
- 2 years of experience in office administration, reception, or customer service preferred.
- Previous experience in a telecommunications or utility environment is a plus.
