Salary: $48,000-$55,000 depending on experience

Position Overview
The Family Experience & Front Office Manager builds relationships across the Watershed community while overseeing various customer service, communications, database/information, and operational responsibilities. As the first point of contact at the front desk, they ensure proper information flow and support. This central role requires someone who thrives in a dynamic environment with frequent interactions, steady activity, and varying noise levels.
Key ResponsibilitiesCustomer Service
- Welcome visitors and create a positive first impression of our school
- Address parent inquiries promptly and professionally
- Manage phone communications and connect callers with appropriate departments
- Maintain organized front office and lobby areas
- Track student attendance and coordinate with families
- Support students with time-sensitive needs, including medication administration
- Provide insights to administrators about family experiences
Database & Records Management
- Manage Blackbaud Student & Learning Management Systems
- Oversee families' digital experience through the school's LMS
- Support program coordination, student records, and progress report management
- Assist with migration to the Veracross School Management Platform
- Track all student/family forms and experiential program documentation
Communications
- Produce weekly newsletters for staff and families
- Manage summer communications regarding events and deadlines
- Distribute time-sensitive and emergency notifications
- Maintain knowledge of Emergency Operations procedures
Operations
- Maintain all school calendars across platforms
- Manage office supplies, incoming mail, and payments
- Monitor visitor access and entrance security
- Oversee printing resources and technology support
- Assist with emergency response protocols
- Coordinate with external vendors (photographer, lunch provider)
QualificationsEducation and Experience
- Associate's or Bachelor's degree preferred
- Previous customer service experience, preferably in an educational setting
- Familiarity with academic workflows and educational terminology
- Experience with school management systems preferred
