Job Summary:
The Watertown Area Chamber of Commerce is seeking an enthusiastic and organized Event & Marketing Coordinator to join our team. This dynamic role is perfect for a self-motivated professional with a passion for community engagement, event planning, and marketing. You will play a key role in organizing, implementing, and promoting a variety of Chamber programs and events while providing administrative support to ensure smooth daily operations of the Chamber office.
As the face of our Chamber for many visitors and members, the Event & Marketing Coordinator will foster strong community relationships, enhance member experience, and contribute to the success of Chamber initiatives that promote local businesses and economic development.
Essential Functions & Responsibilities:
· Event Management
o Coordinate and execute Chamber events, including special programs, member events, and networking opportunities.
o Assist in creating new events and revitalizing existing programs to enhance member engagement.
o Lead event planning processes, working closely with committees, staff, and volunteers to ensure project tasks and timelines are met.
o Manage event logistics, including registration, vendor coordination, venue setup, and on-site support.
o Attend all Chamber events, serving as an on-site coordinator and representative.
· Marketing & Communications
o Develop and implement marketing strategies to promote Chamber events, programs, and initiatives.
o Create, design, and update communication materials, including flyers, newsletters, press releases, social media content, and website updates.
o Manage and grow the Chamber’s online presence through effective use of social media platforms and the Chamber website.
o Collaborate with Chamber committees to develop targeted promotional campaigns and outreach strategies.
o Draft press releases and media advisories to increase public awareness of Chamber activities.
· Office Support & Administration
o Provide excellent customer service by welcoming visitors, answering calls, and professionally responding to emails.
o Assist with day-to-day office operations, including organizing mail, maintaining member records, and processing the Chamber’s gift certificate/check program.
o Support general bookkeeping and financial record-keeping as assigned.
o Maintain standardized office procedures, including creating an office procedure manual and team calendar.
o Serve as liaison to Chamber committees on behalf of the Executive Director, as needed.
o Perform other administrative tasks and duties as assigned.
Required Skills & Abilities
- Strong organizational skills with exceptional attention to detail.
- Excellent time management with a proven ability to manage multiple projects and meet tight deadlines.
- Superior verbal and written communication skills; confident in public speaking and presentations.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiar with social media platforms and website management tools.
- Basic knowledge of bookkeeping and office management procedures.
- Strong analytical and problem-solving abilities.
- Ability to work independently and as a part of a collaborative team.
- Willingness to work flexible hours, including occasional early mornings, evenings, and weekends.
- Ability to travel locally as needed.
Education and Experience
· An associate’s degree in marketing, journalism, advertising, communications, or a related field is required.
· Three to five years of related experience in event planning, marketing, or a similar role.
· A portfolio of relevant previous projects is highly preferred.
· Knowledge of the local community and participation in community functions is a plus.
