Summary of the Role
The Accounting Firm Administrator is responsible for managing daily administrative operations, overseeing financial processes, and coordinating HR and compliance functions. Success in this role means delivering accurate monthly financials, maintaining organized records, ensuring prompt billing and payables, and motivating a small administrative team. Reporting directly to senior management, the Administrator serves as a key link between accounting, HR, and operational functions—driving efficiency, identifying improvements, and empowering the firm to focus on strategic growth and client service.
Key Responsibilities
Financial Management :
Prepare and review monthly financial statements
Oversee accounts payable processes and vendor relationships
Monitor and facilitate client billing and accounts receivable
Administrative Oversight :
Supervise a team of three administrative staff members
Maintain and organize electronic records
Coordinate office contracts, licenses, and renewals
Human Resources Support :
Assist with onboarding, employee documentation, and HR policy compliance
Collaborate on payroll and benefits administration
Process Improvement :
Develop and implement office procedures to increase efficiency
Identify operational challenges and propose effective solutions
Compliance & Reporting :
Ensure adherence to relevant regulations and internal policies
Prepare operational and financial reports for senior management
Qualifications
3 years of professional experience in accounting, finance, or related field
Bachelor's degree in Accounting, Finance, Business Administration, or equivalent work experience
Working knowledge of accounting software (QuickBooks, Accounting CS, etc.) and Microsoft Office (Excel, Word, Outlook)
Strong communication, leadership, and organizational skills
Comfortable supervising a small team
Familiarity with HR processes and policy compliance
Preferred Skills
Detail-oriented with the ability to prioritize tasks effectively
Demonstrated ability to streamline and enhance processes to drive efficiency
