Job Summary
We are seeking a motivated and detail-oriented Service Writer to join our team. The ideal candidate will serve as the primary point of contact for customers, providing exceptional service while managing their automotive needs. This role requires a strong understanding of vehicle maintenance and repair processes, along with excellent communication and sales skills to effectively upsell services and products.
Responsibilities

- Greet customers and communicate service needs
- Generate and manage repair orders (ROs) using shop software (TRACS or similar)
- Schedule work and assist with job prioritization
- Monitor and communicate job status, parts backorders, and completions
- Track and log technician hours and labor entries
- Order and receive parts; coordinate with vendors
- Maintain filing systems for hard copies, digital records, and warranties
- Assist in billing, invoicing, and warranty processing
- Answer phones and assist walk-in customers
- Provide regular updates to customers and internal teams
- Act as support for the Equipment Maintenance Supervisor when needed
- Maintain a positive, professional environment in the front office
Requirements
- High School Diploma or GED required
- Minimum two (2) years of experience as a service writer, diesel mechanic, or in a related role
- Experience with TRACS or similar shop management software preferred
- Strong data entry skills and computer proficiency (Word, Excel, 10-key)
- Comfortable working with numbers, time tracking, and customer records
- Experience in vehicle maintenance, heavy equipment, or diesel repair is a plus
