General Administrative Support:
Job Overview
We are seeking a highly organized and motivated Administrative Assistant to support the day-to-day operations of our vacation rental company. This individual will be responsible for providing administrative support to ensure smooth communication and efficient business operations. The role requires attention to detail, excellent communication skills, and the ability to multitask in a fast-paced environment. As a key team member, the Administrative Assistant will help provide a seamless experience for both guests and property owners.
Key Responsibilities:
General Administrative Support:
- Answer and manage incoming phone calls, emails, and other inquiries in a professional and friendly manner.
- Maintain and organize physical and digital files for guests, properties, and owners.
- Assist with scheduling appointments, property viewings, and check-ins/outs.
- Prepare and distribute correspondence, reports, and other documents as needed.
Guest Relations:
- Respond promptly to guest inquiries and reservations via phone, email, or online platforms.
- Assist with guest bookings, confirming reservation details, and providing arrival instructions.
- Manage guest feedback, complaints, and special requests, ensuring positive experiences.
Property Management Support:
- Coordinate with housekeeping and maintenance teams to ensure properties are ready for guest arrival and report any maintenance issues.
- Update property availability calendars and listings on online platforms (e.g., Airbnb, Vrbo, etc.).
- Help monitor property cleanliness and ensure adherence to company standards.
Data Entry & Reporting:
- Maintain accurate records of reservations, payments, cancellations, and other guest transactions.
- Process payments and refunds in accordance with company policies.
- Assist in generating monthly financial and operational reports as required.
Owner Relations:
- Provide administrative support to property owners, including updating them on booking activity, guest feedback, and property maintenance.
- Coordinate property inspections and maintenance schedules with owners.
Marketing and Social Media Support:
- Assist with maintaining and updating company website, social media pages, and other marketing materials.
- Support the team in preparing promotional emails, newsletters, and other marketing initiatives.
Office Operations:
- Manage office supplies and inventory, placing orders as needed.
- Assist with other office-related tasks as directed by the Office Manager or Operations Manager.
Qualifications:
- High school diploma or equivalent required; associate's or bachelor’s degree preferred.
- 1-3 years of administrative experience, ideally in the hospitality or vacation rental industry.
- Strong proficiency with Microsoft Office Suite (Word, Excel, Outlook) and general office equipment.
- Experience using vacation rental platforms (e.g., Airbnb, Vrbo) is a plus.
- Excellent written and verbal communication skills.
- Strong organizational and time management abilities.
- Ability to work independently and as part of a team.
- Strong problem-solving skills and ability to handle guest issues diplomatically.
- A positive, friendly, and professional attitude.
Job Type: Full-time
Pay: From $19.00 per hour
Expected hours: 40 per week
