Reports To: Clinic Manager & Executive Director
Status: Non-Exempt Hourly
Hours: Flexible – 16-24 hours per week; open to candidates with only one or two days available per week

Summary:

Join our dedicated team at Waukesha Free Clinic as a Bilingual Receptionist! Under the direction of the Clinic Manager and Executive Director, you will be the first point of contact for patients, donors, vendors, and customers. You will work closely with other bilingual receptionists and clinic staff to ensure smooth and efficient operations. This role involves overseeing reception tasks, providing interpretation services, and contributing to the clinic's mission of delivering high-quality care to the community.

Major Responsibilities:

Client Services:

  • Conduct patient eligibility screenings according to WFC guidelines.
  • Provide clients with information about WFC policies, procedures, and services.
  • Assist clients in filling out registration forms and other paperwork.
  • Schedule client appointments and refer clients to program staff as needed.
  • Confirm appointments with patients and volunteers prior to clinics.
  • Refer patients to other community resources as appropriate.

Clerical/Receptionist Duties:

  • Handle incoming telephone calls and route them to appropriate staff.
  • Prepare and file patient charts; update as needed or directed.
  • Pull charts and organize needed paperwork prior to each clinic.
  • Perform other basic clerical tasks as directed.
  • Open and route incoming mail; prepare outgoing mail.
  • Assist with filing and the creation, revision, and updates of forms, policies, and procedures.
  • Assist nurses in appropriately staffing clinics with needed volunteers.
  • Act as a back-up receptionist for clinic sessions.
  • Coordinate and oversee telehealth appointments by assisting patients and providers with using technology.

Interpretation/Translation:

  • Provide Spanish interpretation/translation services to WFC clients during office hours and clinics.
  • Translate clinic documents & materials to Spanish as needed.

Other Duties:

  • Prepare patient records requests.
  • Assist with data entry as needed.
  • Other duties as assigned by the Clinic Manager and Executive Director.

Qualifications:

  • Experience and understanding of community-based services; awareness of community resources.
  • Experience working with low-income and minority populations.
  • Fluent in Spanish.
  • Familiarity with office functions (i.e. scheduling, billing, record keeping, etc.).
  • Familiarity with basic computer functions (i.e. Excel spreadsheets, Word documents, etc.).

Physical Demands:

  • Prolonged sitting or standing is frequently required.
  • Perform repetitive physical movements and tasks associated with the practice of medicine.
  • Ability to distinguish letters and symbols, and use telephone, computer terminals, and copiers.
  • Work under stressful conditions and irregular hours as needed.
  • Frequent exposure to communicable diseases, body fluids, toxic substances, medicinal preparations, and other conditions common to a clinical environment.
