Wayland Hall | Event Coordinator
Welcome to Wayland Hall, the private event venue of Wayland Brewing Company located in Orchard Park, NY. Wayland is the newest addition to The Grange Restaurant Group.
We are currently seeking an individual with event or hospitality experience to assist with the management of varying social events including weddings, showers, concerts, & festivals for Wayland Hall. This role will work alongside our events team to ensure the quality and success of all events.
An ideal candidate for this position will be solution-oriented, open to learning, enjoys a high energy & fast-paced environment, able to work non-standard hours (i.e night hours and weekends), and have a team player mentality.
General Responsibilities Include:
- Convert prospective clients into committed clients through on-site meeting, property tour, and proactive communications
- Communicates regularly with managers in order to maintain a continuous knowledge of event status to identify potential issues and/or opportunities within or related to the event
- Reviews and has a thorough understanding of all paperwork to coordinate scheduled events
- Assists with invoicing all clients, including vendor accounts
- Stay highly organized with all wedding contracts and payment deadlines
- Stay on call during deliveries to ensure things go smoothly
- Keep Wedding Database up to date and organized
- Ensuring all event documents required to sell venues/execute events are kept current/up to date (event menu, photos, one-pagers, floor-plans, in-venue items for events, etc.)
- Help manage social channels & review platforms responding when appropriate
- Assist in procuring timelines, floor-plans, or diagrams for each event
- Support field crew as needed with phone, email, and onsite assistance on logistics, design, plots, and finding creative solutions for event crew in case of emergencies or problems onsite
- Assist with event staff onboarding & training
- Receive, review, & respond to event inquiries
During an event:
- Increased attention to detail during service – timeline, settings, lighting & cleanliness
- Setting up the tables & chairs day-of
- Make sure all vendors arrive on time
- Periodically checks with the client to ensure satisfaction with the function and to respond to any additional requests
- Supervises clean up and breakdown of function after its completion; accounts for all equipment and supplies; and ensures its return to the storage area
Minimum Qualifications
- 3 years of event or hospitality experience
- Expierence using event management software (AislePlanner)
- Proficiency using Microsoft Office & Excel
- Strong interpersonal skills
- Ability to communicate clearly & respectfully both verbally and in writing
- Works independently to prioritize tasks adjusting deadlines appropriately
Job Type: Full-time
Pay: $80,000.00 - $85,000.00 per year
