Position Overview:
The Data Specialist ensures the accuracy of customer portals, reconciles data with internal routing software (Dispatch Track), and manages delivery scheduling. This role involves auditing, tracking, and communicating with customers to resolve scheduling issues and ensure smooth delivery operations.
Essential Duties & Responsibilities:
Customer Portal & Data Entry:
- Audit and update customer portals to align with internal routing software.
- Enter and update order data accurately and on time.
Delivery Scheduling & Coordination:
- Schedule deliveries with customers via phone and text, gathering details such as delivery path, stairs, floor type, gate codes, and obstacles.
- Update delivery dates and times in customer portals and internal systems.
- Manage future-dated deliveries and notify customers of any changes.
Scheduling Exception Management:
- Monitor and resolve scheduling exceptions, contacting customers to address issues like delivery obstacles.
- Resolve flagged issues (e.g., stairs) by following up with customers.
Automated Systems & Order Routing:
- Review and respond to customer texts from the automated system.
- Identify and address unscheduled orders in the system, ensuring timely routing.
Post-Delivery & Final Audits:
- Conduct post-delivery audits to ensure accurate processing and resolve any discrepancies.
- Ensure driver apps are updated and ready for use.
- Audit out-for-delivery items and check for backdated orders.
- Enter and update time windows in customer portals for driver arrival times.
Customer Support & Issue Resolution:
- Provide customer support for scheduling, delivery, and other related inquiries.
- Follow up with customers to resolve concerns or changes via phone, email, or text.
- Monitor and respond to voicemail inquiries regarding deliveries and time windows.

Job Qualifications:
- 2-5 years of related experience or equivalent education/experience.
- Availability to work from 8 AM – 5 PM, Monday through Friday.
- Strong communication skills, both written and verbal.
- High attention to detail and organizational skills.
- Ability to handle multiple tasks and adapt to changing situations.
Skills:
- Proficiency in Microsoft Office (Excel, Word, Outlook).
- Strong problem-solving skills and the ability to address issues quickly.
- Ability to multitask and prioritize in a fast-paced environment.
- Excellent customer service skills and commitment to satisfaction.
- Experience with or ability to learn routing and portal management tools.
Job Type: Full-time
Pay: $21.00 per hour
