Wayne Automatic Fire Sprinklers is looking for a Service Department Administrative Assistant in our Ocoee Fl. branch.
This position reports to the Service Department Manager and is responsible for ensuring all administrative duties are completed in an accurate and timely manner.

Administrative Assistant
Wayne Automatic Fire Sprinklers is looking for a Service Department Administrative Assistant in our Ocoee Fl. branch.
This position reports to the Service Department Manager and is responsible for ensuring all administrative duties are completed in an accurate and timely manner.
Responsibilities
- Read and route incoming mail.
- Prepare outgoing mail.
- Customer support, external and internal customers.
- Composes and types routine correspondences.
- Files correspondence and other records.
- Processing approved quotes.
- Maintains time sheet records for all Service employees.
- Answers the telephone, gives information to the callers, routes calls to the appropriate official, or takes messages.
- Places outgoing calls for company officials.
- Answers all Service Department calls-logs the call, assigns a job number, and inputs the information into the computer. Prints Service Work Orders and distributes to the Designers.
- Gives files to Designers and Technicians to complete their parts of the Job Status Sheet.
- Assist with processing Accounts Payable invoices to jobs.
- Assist the Alarm team with account modifications in COPS.
- Makes copies of correspondence and other printed materials as required.
- Prepare notes, correspondences, and reports using computer.
- Working outside on job sites for long hours in all seasons including summer months.
What are the Qualifications for this position?
- Minimum 2 years of Administrative Experience in an office setting, preferably in the construction industry.
- Proficient in computer skills including Microsoft Office, Excel, and Outlook.
- Must possess the ability to work well under pressure and meet deadlines.
- The ideal candidate will be organized, professional, and a good communicator.
- Valid Driver's License and good driving history.
- Successful completion of a pre-employment drug test and pre-employment background check screening including 10 years of employment verification is required to be hired at Wayne Automatic.
