Sales & Service Dept. Administrative Assistant

Wayne Automatic Fire Sprinklers is looking for a Sales & Service Department Administrative Assistant in our Tampa Fl, FL branch.

The Service, Inspection, and Alarm Administrative Assistant is responsible for ensuring all administrative duties are completed in an accurate and timely manner. This position will also interact regularly with internal customers, including managers, sales, supers, field techs, admins, and G&A. Day To Day

  • Review and convert quotes for calls or service projects
  • Collect and verify documents/subcontractor agreements for customers
  • Complete vendor packets and pre-qualifications
  • Process COI (Certificate of Insurance) requests for customers/portals
  • Handle COI renewals during April and September
  • Enter sales opportunities
  • Submit invitations to bids to the sales team
  • Answer incoming calls and handle/direct them accordingly
  • Prepare and submit invoices to customers
  • Perform other related duties as needed

What are the Qualifications for this position?

  • Minimum of 3 years preferred in an administrative role within the Construction Industry.
  • Knowledge of construction billing and change order procedures.
  • Previous billing/invoicing and scheduling/dispatching technicians experience.
  • Proficiency in Microsoft Office, Outlook, Excel.
  • Ability to work well under pressure and meet deadlines.
  • Excellent time management skills and the ability to prioritize work
  • Excellent written and verbal communication skills
  • Valid Driver’s License and a clean driving record.
  • Successful completion of a pre-employment drug test and pre-employment background check screening, including 10 years of employment verification, is required to be hired at Wayne Automatic.
