Primary Purpose: The Administrative Assistant will be responsible for providing general administrative support for services within the agency. They will be an integral member of the team to drive systems and processes to create a positive and friendly working environment, while serving as the first point of contact to our guests
LOCATION: HAVERHILL, MA
SCHEDULE FOR THIS POSITION: 40 Hours, Mon-Fri 8a-4p
Key Activities:
- Provide high quality customer services by managing daily administrative tasks, including answering phones, responding to emails and directing inquiries to appropriate members throughout the building.
- Monitor and order supplies, ensuring the building remains well-stocked and functional, including office, medical and maintenance supplies.
- Provide administrative support for teams as needed; including but not limited to accurately entering and updating information databases, preparing presentations, scheduling of conference rooms and supporting programs as needed.
- Act as a point of contact for clients and vendors, providing professional assistance and addressing inquiries promptly.
- Assist various departments with ad hoc tasks, projects, and other administrative needs.
Other duties:
- Ability to exercise good judgement and be solution-oriented across a variety of situations.
- Excellent organizational skills and keen attention to detail.
- Allow general flexibility and ability to multitask
- Ensure maintenance of office equipment and contact servicing agents as needed
- Work with CBDS (Community Based Day Support services) to provide front desk relief by individuals served; provide basic training and feedback on their performance
- Assist in the dissemination and compliance of office policies and procedures
- Assist, as instructed, in safety and evacuation protocols
- Other duties as assigned
REQUIREMENTS:
- High School Diploma or equivalent with a minimum of 2 years comparable office experience
- Microsoft Office Suite (Outlook, Word, Excel)
- Strong organizational/communication skills and multitasking ability required
- Minimum of 1 year of driving experience and a valid drivers license
- Regular and predictable attendance
- Must be highly organized and efficient and able to prioritize and perform office work in a dynamic environment despite frequent interruptions.
