POSITION TITLE: Intake Coordinator

DEPARTMENT: Administration

REPORTS TO: Business Office Manager

Job Summary
We are seeking a dedicated and organized Intake Coordinator to join our healthcare team. The ideal candidate will play a crucial role in managing patient intake processes, ensuring that all necessary information is collected efficiently and accurately. This position requires strong communication skills, attention to detail, and a solid understanding of medical terminology and office management practices.

POSITION PURPOSE: Assumes responsibility for registration of all patients in accordance with federal, state and Center policies and procedures.

KEY RESPONSIBILITIES: Greets and registers all patients in a timely manner. Ensures patients are escorted to appropriate patient care areas. Answering the phones and directing calls to the appropriate person or department.

Experience

  • Previous experience as a medical receptionist or in office management is preferred.
  • Familiarity with medical administrative support functions is highly desirable.
  • Knowledge of medical terminology is essential for effective communication within the healthcare environment.
  • Experience with health information management practices will be an advantage.
  • Proficiency in using Medisoft or similar electronic health record systems is a plus.
  • Strong organizational skills and attention to detail are critical for success in this role.

DEPARTMENTAL RESPONSIBILITIES

  • Complies with department policies and procedures and suggest changes as necessary as evidenced by:
  • Follow policy procedures in accordance with Center business office manual when registering patients.
  • Uses appropriate human, financial, and material resources while considering the overall budgetary constraints.
  • Completes daily close‑out in timely manner.
  • Demonstrates the ability to do data input and operates other office machines.

Shows responsibility in financial matters as evidenced by:

  • Up front collection of copayments and deductibles.
  • Orders office supplies timely.

CUSTOMER SERVICE

Achieves quality patient services and satisfaction by maintaining a work environment which is conducive to good patient relations as evidenced by:

  • Demonstrates a polite, courteous, and friendly manner at all times.
  • Is capable of managing heavy phone traffic.
  • Organizational skills are above average.
  • Medical terminology and knowledge of surgical procedures is current.
  • Computer literate.
  • Handles stressful situations with little or no supervision.

REGULATORY COMPLIANCE

Complies with accreditation, corporate, and Center regulations as evidenced by:

  • Maintains content of the medical records to standards.
  • Obtains signatures on documents as needed to comply with requirements.
  • Keeps files up-to-date.
  • Maintains confidentiality with information that they are privileged to.

PERFORMANCE ENHANCEMENT

These activities are everyone’s responsibility. Actively participates as evidenced by:

  • Understanding of Center’s Performance Enhancement Program.
  • Understanding of the performance enhancement process.
  • Completes Opportunity for Performance Enhancement Form when as opportunity is identified. Makes sure that there is appropriate follow through.
  • Participates in Performance Enhancement Team Projects as appropriate.
  • Completes assigned monitors in a timely and accurate manner.
  • Keeps up-to-date with Center’s Performance Enhancement activities.

SAFETY

Maintains office space in safe condition as indicated by neat work space and secured electrical wiring. Adheres to all facility safety regulations and guidelines regarding patient staff safety as evidenced by:

  • Attends safety meetings and training as evidenced by attendance.
  • Identifies, corrects, and reports unsafe conditions immediately.

EMPLOYEE MANAGEMENT

Demonstrates ability to work well alone and asks for direction and clarification as necessary.

  • Maintain work area in a clean and orderly manner.
  • Assists in welcoming new employees and helps orient them as requested.

RESOURCE AND INVENTORY MANAGEMENT

Ensures the proper use of resources as evidenced by:

  • Careful use of supplies to avoid waste.
  • Reports to the appropriate person when supplies are low.
  • Keeps accurate records.
  • Uses appropriate human, financial, and material resources while considering the overall budgetary constraints.

QUALIFICATIONS

Skills, Knowledge, and Abilities:

Ability to effectively manage the special tasks assigned in the position description. Knowledge of computers, multiple phone-line console, and medical and surgical terminology. Is courteous and calm when working with apprehensive patients. Ability to handle multiple tasks and set priorities.

Education/Experience:

Graduate of medical receptionist modality or one-year experience in the front office for a doctor or other healthcare facility. Must demonstrate computer knowledge.

POSITION CONTENT
